Position Description
POSITION TITLE:
Office Support II - Maintenance
REPORTS TO:
Maintenance Director; Assistant Maintenance Director
BEGINNING DATE:
Open Until Filled
Knowledge, Skills, and Abilities Required
Considerable knowledge of and ability to use grammar, vocabulary, spelling and punctuation
Considerable knowledge of office practices and procedures
Ability to keyboard with accuracy and speed
Ability to compile and summarize information
Considerable knowledge of bookkeeping and accounting procedures
Considerable knowledge of Microsoft Word and Excel
Ability to access information through a computer network and/or from a mini- or main‑frame computer system
Ability to use moderately complex word processing and/or spreadsheet software programs
Ability to establish and maintain effective working relationships with staff
Ability to understand accounts payable to prioritize invoices for payment
Ability to reach with hands and arms routinely
Must be able to multi‑task
Ability to maintain composure in difficult situations
Education and Training
High school graduate and three years of related clerical experience
Term of Employment
12 months
Salary
Salary Grade 57
Performance Responsibilities
Obtain new vendor information
Enter/look up work order information
Enter/look up attendance
Enter purchase order budget codes and descriptions for all maintenance department purchases from local and capital funds
Run budget reports
Match up pick tickets in order to pay invoices from purchase orders
Maintain accurate records of all financial transactions of maintenance using computerized accounting program
Gather information necessary for end of year closeout
Make necessary travel arrangements for classes and travel reimbursements
Keep track of uniforms for all schools and maintenance facility
Perform various office duties, answer multi‑phone system and sort mail
Check invoice status upon vendor inquiry
Complete forms for employee injury reports
Enter information for maintenance inventory of transfers and purchased items
Performs other duties as specified by the Maintenance Director and/or Assistant Maintenance Director
Physical Requirements
Must be able to communicate well with staff
Must be able to drive to variety of locations necessary to conduct business
Must be able to tolerate a noisy, busy work environment with frequent interruptions
Ability to be physically active, which includes, but is not limited to, lift moderate to heavy weight (40-50 pounds), standing, pushing, pulling, squatting, bending, sitting, and walking
Ability to carry furniture such as tables and chairs, supplies and materials
Must be able to visually and auditorily effectively communicate with staff and public
