We are seeking a friendly, charismatic, and detail-oriented Legal Assistant / Office Administrator to join our law firm in our Charlotte office (SouthPark). This role is ideal for someone who thrives in a client-facing environment, enjoys creating an exceptional in-office experience, and takes pride in keeping operations organized and running smoothly. You will play a key role in supporting our attorneys and paralegals, assisting clients during important life-planning moments, and serving as the welcoming face of our Charlotte office. A warm, bubbly personality paired with strong administrative skills is essential.
Key Responsibilities
Provide a key point of contact for clients and referral sources
Greet clients and visitors warmly, professionally, and with a positive, upbeat demeanor
Coordinate office availability and support daily scheduling needs
Manage incoming and outgoing mail for the Charlotte office
Prepare estate planning binders, including creating, scanning, naming, organizing, and assembling documents
Send completed estate planning documents to clients accurately and on time
Witness client signatures and notarize documents as needed
Record estate planning documents as required
Scan and upload attorney notes and client documents into firm systems
Coordinate client intake process and manage ICON scheduling
Track time entries as needed
Order and maintain office supplies for the Charlotte location
Assist with general administrative tasks to support attorneys and office operations
Qualifications
Prior experience in a legal, administrative, or professional office environment preferred
Experience in estate planning or business law firm setting is a plus
NC Notary Public license preferred (or willingness to obtain)
Highly organized with strong attention to detail
Friendly, charismatic, and client-focused personality
Professional communication skills and comfort interacting with clients in person
Ability to handle sensitive and confidential information with discretion
