
Executive Administrative Assistant

We are partnering with a
market-leading, highly regarded financial services firm in New York City
to hire multiple Administrative Assistants supporting senior executives and Investor Relations teams. These are newly created positions due to growth, offering the opportunity to join a high-performing, collaborative environment with strong visibility across the business and direct exposure to senior leadership.
This is an exceptional opportunity for candidates coming from distinguished financial firms who are seeking a more dynamic, team-oriented role with
career growth and advancement potential . In these positions, you will support up to five executives and/or team members, playing a critical role in keeping Investor Relations operations running seamlessly while gaining valuable experience in a fast-paced, prestigious setting.
Key Responsibilities
Manage complex, high-volume calendars across multiple executives and teams
Coordinate internal and external meetings, including investor calls and roadshows
Arrange domestic and international travel, including detailed itineraries
Prepare and edit presentations, reports, and investor-facing materials
Handle expense reporting and invoice processing
Serve as a point of contact for internal stakeholders and external investors
Assist with event planning, including investor meetings and conferences
Maintain strict confidentiality and professionalism at all times
Provide ad hoc administrative and project support as needed
Qualifications
3–7+ years of administrative experience within the
financial services industry
(required)
Prior experience supporting multiple executives or a team environment
Strong proficiency in
MS Outlook, Word, Excel, and PowerPoint
Exceptional organizational, communication, and multitasking skills
High level of discretion, professionalism, and attention to detail
Ability to thrive in a fast-paced, deadline-driven environment
