Description
Summary
The IT Asset Administrator oversees the acquisition, deployment, maintenance, and retirement of hardware and software assets within an organization. They ensure compliance with licensing agreements, track inventory, and optimize asset utilization. This role plays a critical part in cost control, security, and operational efficiency. This role is critical in managing an organization’s IT assets throughout their lifecycle. They focus on laptops and other technology-related hardware.
Responsibilities
Asset Procurement, Warranty, Deployment and Recovery:
Collaborate with procurement teams to acquire hardware (computers, peripherals) and software licenses.
Coordinate asset deployment, ensuring timely setup and configuration for end-users.
Handle laptop recovery processes: Collect laptops from users who no longer need them (e.g., due to job changes, terminations, or equipment upgrades).
Ensure data removal and proper wiping of sensitive information.
Coordinate warranty replacements or repairs for faulty laptops.
Inventory Management
Maintain an accurate inventory of all IT assets (hardware, software, licenses).
Update asset records, including details like serial numbers, purchase dates, and warranty information.
Conduct regular audits to verify asset accuracy.
Create and manage an inventory dashboard to support order forecasting and enhance capabilities for managing hardware and peripheral assets.
License Compliance
Monitor software licenses to ensure compliance with vendor agreements.
Track license usage, renewals, and expirations.
Assist with software audits and compliance reporting.
Asset Tracking And Optimization
Implement asset tracking systems or tools.
Optimize asset utilization by reallocating resources as needed.
Identify underutilized or obsolete assets for retirement or replacement.
Security And Risk Management
Collaborate with security teams to ensure proper security controls on assets.
Address vulnerabilities related to outdated software or hardware.
Manage data wiping and disposal processes for retired assets.
Documentation And Reporting
Maintain detailed documentation related to assets.
Generate reports on asset utilization, costs, and compliance.
Communicate asset-related information to relevant stakeholders.
Vendor Management
Work with vendors to resolve issues related to asset procurement, warranties, and support.
Negotiate pricing and terms for hardware and software purchases.
User Support
Assist end-users with asset-related inquiries, troubleshooting, and replacements.
Provide training on asset management best practices.
This role is an on-site position based in our Indianapolis Central Office.
All other duties as assigned.
Skills And Experience
At least three years of relevant work experience in IT asset management or similar field.
Experience in full lifecycle of Asset Management preferred.
Experience troubleshooting skills surrounding end user device issues in large, distributed environment.
Experience with environmental management and administration via Azure Active Directory.
Basic understanding of network infrastructure and protocols.
Experience with Microsoft InTune, ServiceNow or Asset Management tools preferred.
Demonstrated professional and interpersonal skills including: effective customer service, creative problem solving, effective written and verbal communications, planned and organized coordination of cross functional teams, attention to detail and quality, ability to self-manage.
Detail oriented with ability to prioritize and manage multiple projects.
Ability to work occasionally after hours and weekends for project-needs.
Proven track record in asset management, particularly in an IT-focused environment.
Strong understanding of logistics and inventory management systems.
Excellent organizational and project management skills, capable of overseeing complex asset management initiatives.
High level of proficiency in managing inventory databases and implementing self-service systems.
Effective communication skills, able to collaborate with various teams and stakeholders.
Detail-oriented with a strong focus on compliance and security in asset management.
Proficient with Microsoft Office tools: Outlook, Excel and Word.
Solid organizational skills and self-driven.
Focus on continuous improvement.
Education And Qualifications
Associate’s degree or equivalent experience is required. Bachelor’s degree preferred.
