Mailroom Clerk
As a Mailroom Clerk at JLL, you'll play a vital role in ensuring the smooth flow of correspondence and materials for our client operations. You'll be responsible for the timely sorting, processing, and distribution of all incoming and outgoing mail, packages, and shipments while maintaining the highest standards of confidentiality and security. This position requires meticulous attention to detail, as you'll handle time-sensitive documents including bankruptcy letters, private and confidential correspondence, contracts, and financial materials that must be processed with accuracy and discretion. You'll manage the complete mailroom operation including operating postal equipment, coordinating courier shipments, maintaining supply inventories, and providing general office support services. Your organizational skills and ability to work efficiently in a fast‑paced environment will be essential to supporting the broader operations of our client's business.
Day‑to‑Day Responsibilities
Sort and collate incoming mail promptly, prioritizing time‑sensitive documents and ensuring bankruptcy letters are stamped and delivered same day to the litigation team.
Open and process regular mail while respecting confidentiality protocols for private and confidential correspondence that must remain sealed.
Scan contracts and upload to the client's electronic filing system, routing any accompanying checks to appropriate BMO Harris personnel for processing.
Pick up mail from stations periodically throughout the day, ensuring all items collected before noon are stamped and placed in lower level mail bins for timely outbound processing.
Process outgoing shipments through multiple carriers including FedEx, UPS, DHL, and USPS, weighing items and applying correct postage.
Distribute mail by placing items in proper bins and delivering to individuals or their designated mail slots throughout the day.
Stock copy rooms, printing devices, and mailroom areas with necessary supplies, monitoring inventory levels and advising client personnel of reorder needs.
Provide office assistance including conference room setup and teardown, support for small office moves, and minor housekeeping tasks.
Maintain secure mailroom operations by processing all mail only within the designated secure area and following strict access protocols.
Required Qualifications
High school diploma or GED equivalent.
1‑3 years of previous mailroom experience in a professional office environment.
Excellent written and oral communication skills in English.
Proficiency with computer systems including word processing and database entry.
Strong working knowledge of fax machines, scanning equipment, and postal processing devices.
Ability to lift a minimum of 50 pounds and remain on your feet for extended periods throughout the workday.
Exceptional hand‑eye coordination and ability to work quickly and accurately with your hands.
Preferred Qualifications
Experience working in a corporate office environment with high‑volume mail processing.
Familiarity with confidential document handling protocols in legal or financial services settings.
Knowledge of shipping and logistics best practices across multiple carrier platforms.
Demonstrated track record of reliability, punctuality, and professional conduct in client‑facing environments.

Estimated compensation for this position:
49,100.00 – 49,100.00 USD per year
Estimated compensation range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
