Contract Maintainence Coordinator

Contract Maintenance Coordinator – TUNNEL HILL USX TERMINAL (Monday – Friday, 8:00 AM – 5:00 PM). Remote: No. Grade: HR10. Compensation Range: $21.01 – $24.72.

Responsibilities
This position is responsible for communicating with internal departments and directly with Lease Drivers and/or Owner Operators on the repair status of equipment, acting as a liaison to minimize downtime and cost. Yard management duties are part of the workload.

Identifies the need and timeliness for equipment repairs based on incoming correspondence from contracted drivers, using DOT regulations and USX policy.

Ensures cost efficiency of repairs with emphasis on safety and customer satisfaction.

Communicates with drivers, internal departments, and vendors regarding tractor and trailer repair.

Attains cost estimates on all major component failures and repairs.

Uses internal resources to ensure repair cost is within standard guidelines prior to authorization.

Obtains cost estimates and places requests for service with appropriate vendors.

Utilizes the Service Locator to determine the best vendor for en route repairs.

Ensures that invoices reflect all repairs needed and all procedures and directives have been followed through the Cetaris work order process.

Confirms warranty coverage eligibility of service by reviewing mileage, date in service, type of failure, extended warranty coverage, and prior work history.

Validates correct standard repair times (S.R.T.) and submits any discrepancies via preview sheet.

Authorizes repairs above the limit set for maintenance representatives and reports discrepancies to management.

Obtains signed security agreements when applicable.

Assists lease drivers with maintenance inquiries.

Reconciles equipment management IC program and yard checks from outside terminals, investigates discrepancies, and identifies root cause.

Explains settlement sheets to independent contractors and reconciles work order invoices against settlement sheets.

Performs other duties as needed.

Qualifications
Education
High school diploma or equivalent required.

Experience
Minimum 3–5 years’ experience in truck or automotive service and/or parts preferred.

Skills & Certifications

Strong understanding of Excel.

Basic understanding of accounting and invoices.

Strong communication skills.

Basic knowledge of mechanics of tractors and trailers.

Basic understanding of shop repair costs and invoices.

Basic understanding of VMRS coding.

Knowledge and understanding of corporate policies and procedures.

AS400 skills preferred.
