General Description
The Admissions Coordinator serves as the first point of contact for prospective patients, families, and referral partners. This role is responsible for managing inbound inquiries, conducting screenings, and guiding individuals through the admissions process with compassion, clarity, and urgency.
This is a high-impact role that blends customer service, sales, and care coordination. The ideal candidate is empathetic, responsive, and driven—someone who can build trust quickly while effectively moving qualified individuals into treatment.
While this role is remote, candidates must be based in Kansas to support the local market, referral relationships, and facility coordination as needed.
Essential Duties & Responsibilities
Admissions & Intake
Conduct initial phone screenings of prospective patients and referral sources to determine clinical appropriateness
Respond to inbound calls, web inquiries, and referrals in a timely and professional manner
Guide patients and families through the admissions process, setting clear expectations and next steps
Provide accurate, compassionate information about programming, services, and the recovery journey
Verification & Coordination
Verify insurance benefits, identify financial responsibility, and communicate coverage clearly
Coordinate admission logistics including scheduling, transportation, and arrival details
Facilitate the collection of required documentation and outside medical records
Collaborate with clinical, medical, and operations teams to ensure appropriate level of care
Pipeline & Conversion Management
Maintain consistent follow-up with prospective patients, families, and referral partners
Track all activity in EMR/CRM systems with accuracy and timeliness
Work closely with Business Development to support referral flow and conversion
Provide referrals and resources for individuals not appropriate for the program
Relationship Management
Serve as a liaison between patients, families, referral sources, and internal teams
Represent the organization professionally in all communications
Support a seamless, welcoming, and trauma-informed admissions experience
Compliance & Reporting
Ensure all documentation is complete, accurate, and compliant with HIPAA and regulatory standards
Adhere to all state, federal, and accrediting body requirements
Track and report admissions data, trends, and key metrics
Additional Responsibilities
Participate in evening and weekend coverage, including on-call rotation as needed
Perform other duties as assigned
Qualifications
Minimum Qualifications
High School Diploma or equivalent required
2+ years of experience in admissions, healthcare, call center, or sales environment
Strong communication, customer service, and organizational skills
Ability to work in a fast-paced, high-volume environment
Proficiency in Microsoft Office and ability to learn EMR/CRM systems
Must be based in Kansas
Preferred Qualifications
Bachelor’s degree in healthcare, social services, business, or related field
Experience in behavioral health or substance use disorder treatment
Knowledge of insurance verification and authorization processes
Peer Recovery Specialist Certification a plus
Experience working remotely or in a hybrid environment
