
Bookkeeper
Wake County Public School System, Apex, NC, United States
Position Purpose
The school bookkeeper performs advanced clerical and bookkeeping work in the examination, analysis, and verification of fiscal records in a K‑8, middle or high school. Duties are varied and include maintaining bookkeeping controls of funds disbursed or received and preparing financial data required for fiscal management. Work requires independent judgment in solving most problems. Work is performed under the supervision of the school principal and is reviewed through analysis of statements and reports and is subject to audits.
Minimum Qualifications
High school graduation or GED, AND
Two years of bookkeeping/accounting experience.
An equivalent combination of education and relevant experience sufficient to successfully perform the essential duties of the job.
Knowledge, Skills, and Abilities (KSAs)
Considerable knowledge of bookkeeping/accounting practices for revenue and expenses.
Considerable knowledge of Microsoft Office, specifically Word, Excel, and PowerPoint; Google Apps.
Strong organizational and record‑keeping skills.
Ability to effectively organize and maintain records.
Ability to interpret standard accounting and financial statements.
Ability to prepare reports and business correspondence.
Ability to maintain confidentiality.
Excellent customer service skills with the ability to calmly route concerns to appropriate staff.
Ability to learn district policies and procedures rapidly, apply them in appropriate situations, and explain them to staff, parents, students, and the public.
Ability to exercise independent judgment and initiative in completing work assignments and determine when to refer situations to supervisor.
Ability to communicate information clearly and concisely in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback.
Ability to reason, work, and problem‑solve independently in order to carry assignments to completion according to expected timelines while adhering to established policies and procedures.
Ability to assist students with medication and health needs, as needed.
Ability to establish and maintain positive and effective working relationships with diverse groups of school system staff, students, parents, external agencies, vendors, and the community.
Education, Training, And Experience
High school graduation or GED; AND
Two years of bookkeeping/accounting experience.
Certification And License Requirements
None
Preferred Qualifications
Associate degree in business/accounting from a regionally accredited college or university.
Bookkeeping/accounting experience within a school district or similar environment.
Bilingual English and Spanish (fluent verbal and written) skills.
Experience working with Oracle business applications.
Essential Duties And Responsibilities
Maintain a complete and systematic set of records of all financial transactions as required by federal, state, and school board rules, regulations, policies, and laws, and review and reconcile accounts and budget reports on a monthly basis.
Analyze, verify, and reconcile school budget reports to ensure the maximized use of funds is in compliance with local, state and federal fiscal requirements.
Compose complex financial correspondence for principal’s signature.
Assist principal with budget development.
Initiate and prepare budget transfers and amendments.
Purchase materials for the school using approved purchasing methods, initiate purchase order request forms, obtain quotes and necessary approvals, maintain records of transactions, review orders received, and distribute merchandise received from vendors and the county warehouse.
Initiate and review school contracts and prepare supporting documentation to ensure compliance with policies and procedures.
Initiate and prepare payment requests (direct payments, purchase orders, travel requests), review for proper documentation, complete with proper budget codes, verify available balances, identify new account codes when necessary, obtain necessary approvals, resolve discrepancies, and maintain a file of all transactions.
Initiate, prepare, and process transactions relating to the school’s purchasing card according to procedures, track expenditures and reconcile balances with Oracle on a monthly basis.
Manage the school’s checking account to include receipt books audits, collect, and verify monies received from staff, ensure funds are delivered to the bank according to policy, issue school checks, reconcile the bank account, post activities on the online payment software, pay officials using Arbiter sports software, reconcile the school account activity with Oracle, assist in district run audits of records and accounts.
Train backup bookkeeper to ensure they are familiar and able to perform the essential bookkeeping duties pertaining to Fund 6 in the absence of the school Bookkeeper.
Answer inquiries from staff and parents pertaining to interpretation of school system’s financial policy and procedures.
Perform other related duties as assigned.
Working Conditions
Must be able to use office equipment such as computers, scanners, and copiers. May be required to lift, carry, push, pull or otherwise move objects up to ten pounds. Physical requirements are consistent with sedentary work.
Physical Environment
Must be able to work in a school or office environment and come into direct contact with school system staff, students, parents, external agencies, vendors, and the community.
