Job Overview
Responsible for inputting both accurate group reservations, collecting, recording, and distributing guest preferences, entering and managing group rooming lists. Provides information to any guest or visitor inquiry. Provides prompt, courteous, and efficient handling of all incoming calls and assistance for outgoing calls.
Essential Job Functions
Maintain complete knowledge of:
All hotel features/services, hours of operations, etc.
All hotel restaurant food concepts, menu price range, dress code, and ambiance.
All hotel room types, numbers
ames, layout appointments, amenities, and locations.
All hotel room rates, special packages/promotions, and room availability status for any given day.
Scheduled daily group activities, names and locations of meeting rooms.
Provide callers with accurate information on hotel facilities and services.
Book reservations accurately and in a professional manner.
Reservations booked must be very detailed and must include as much information as possible.
Monitor room type availability.
Hard-block any special room request, such as handicap accessible rooms and suites.
Document and confirm reservations and cancellations.
Block group rooms in the computer and follow through on designated requirements.
Promote packages, promotions, and up-sell whenever possible.
Set up accurate accounts for each reservation according to their requirements (i.e., share-with, separate room/tax/incidentals, comp).
Communicate VIP and Repeat Guest arrivals to designated personnel.
Communicate pertinent guest information to designated departments/personnel (i.e., special requests).
Enter and manage group rooming lists
Blocking group rooms prior to arrival as needed.
Setting up group routing.
Assisting sales with all things group reservations related.
Review group cutoff dates to ensure rooming lists are entered before group is cut off.
Coordinate with sales management to ensure all client requests and changes are implemented in timely manner.
Collect guest preference on each reservation call.
Accommodate room changes expediently.
Qualifications
Requirements are representative of minimum levels of knowledge, skills and /or abilities. To perform this job successfully, the employee will possess the abilities or aptitudes to perform each duty proficiently, with or without reasonable accommodation.
Essential Qualifications
High School Graduate.
Possess a good command of the English language and the ability to clearly and pleasantly communicate with guests, both in person and by telephone.
Ability to compute basic mathematical calculations.
Ability to focus attention on details.
Ability to maintain confidentiality of all guest information and pertinent hotel data.
Ability to analyze and resolve problems exercising good judgment.
Desirable Qualifications
A college education or training in the hospitality industry.
Previous experience as a Reservations Agent.
Fluency in a second language, preferably French, German, Spanish.
Prior Knowledge of telephone system.
