The Legal Clinic Budget Support Associate provides senior administrative and operational leadership in support of the College of Laws clinical legal education programs. Reporting to the Executive Director of Clinical Legal Education, this role is responsible for comprehensive budget and financial management across operating, grant, and gift funds, including grant administration in coordination with the Office of Sponsored Programs and the COL Budget Office. The position oversees clinic office procedures, electronic case management, event coordination, and confidential records management. This role also serves as a key advisor to the Executive Director, exercising independent judgment in representing the office across university, community, and professional contexts. Additionally, the position provides training, and mentoring to clinic support staff.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200 United.

Education and Experience

Associate's degree required.

Bachelor's degree in Business Administration or Accounting is preferred.

Solid understanding of financial systems and procedures within a University setting is preferred.

Experience with PeopleSoft financials is strongly preferred.

Strong and proven verbal and written communication skills.

Exceptional ability to work collaboratively.

Strong interest in creating and continuously improving procedures and processes.

Skills and Knowledge

High level of customer service, strong attention to detail, and utmost discretion and confidentiality.

Advanced knowledge of Microsoft Office, especially Excel.

Experience with Adobe required.

Strong organizational and analytical skills, ability to research and gather data and information, strong communication and receptive skills, and ability to manage multiple projects and prioritize tasks.

Responsibilities

With oversight by the Executive Director of Clinical Legal Education, responsible for managing all clinic budgets and spending including operating, grants, and gift funds.

Make decisions on expenditures, including appropriate funding source, to support program operation.

Grant administration responsibilities include working with the Principal Investigator to prepare and monitor grant budgets, reviewing and approving grant expenditures for allowability, allocability, and compliance with sponsor requirements.

Coordinate budget modifications, no‑cost extensions, and forward‑funding requests; support new grant proposals and renewals in collaboration with the Office of Sponsored Programs and the COL Budget Office.

Maintain supporting documentation in accordance with audit and records retention requirements.

Track, monitor and reconcile internal budget worksheet, and grant reporting.

Develop and manage a system for regular communication with clinic alumni and requests for gifts, with oversight by the Executive Director and the Office of Advancement.

Work with the Executive Director to develop, recommend, implement, and document clinic office procedures.

Manage electronic case files in the Clio legal practice software.

Manage and coordinate clinic events, including conferences, student swearing‑in ceremonies, receptions, etc.

Design and direct implementation of clinic file organization; maintain and oversee confidential correspondence and files for the office.

Support and advise Executive Director on administrative matters.

Review and analyze correspondence and information and provide responses using discretionary judgment.

Represent Executive Director in contact with other College of Law, University, community, and professional contacts.

Provide support to specific clinics as needed.

Train and evaluate clinic support staff, including making recommendations on hiring, salary increases, etc., working with the Executive Director.

Provide mentoring to clinic support staff.

Other duties as assigned.
