Job Description
What You'll Do
Executive Support & Time Management
Manage the President's calendar, scheduling, and daily workflow to maximize efficiency and focus.
Provide daily and near-term reminders, preparation notes, and prioritization support.
Screen and manage incoming communications, including emails, phone calls, texts, and physical mail.
Act as a gatekeeper while maintaining professionalism and responsiveness with internal and external stakeholders.
Communication & Writing Support
Draft, edit, and refine written materials on behalf of the President, including emails, correspondence, notes, and internal or external communications.
Take rough or technical input from the President and convert it into clear, polished, professional written output.
Capture notes from meetings, calls, and discussions and translate them into actionable follow-ups when required.
Logistics
Coordinate complex domestic and international travel, including flights, lodging, ground transportation, and detailed itineraries.
Maintain flexibility to work outside normal business hours, including evenings or weekends, based on business needs.
Meeting & Coordination Support
Schedule and coordinate meetings with executives, customers, partners, and internal teams.
Prepare meeting logistics, materials, agendas, and follow-up actions as needed.
Serve as a point of coordination between the President and AMS leadership, staff, customers, and external partners.
Administrative & Office Support
Maintain organized digital and physical filing systems for executive correspondence, documents, and records.
Gather receipts and prepare expense reports.
Assist with special projects, administrative tasks, and ad-hoc requests as assigned.
Anticipate potential issues or conflicts and proactively address them before they escalate.
Qualifications
Consistently energetic, positive, and professional demeanor
Significant experience providing executive-level administrative or operational support to a senior leader (President, CEO, Founder, or equivalent)
Exceptional organizational skills and attention to detail
Strong written and verbal communication skills, with the ability to edit and improve others' writing
High emotional intelligence and the ability to read situations, personalities, and priorities
Absolute discretion and comfort handling confidential and sensitive information
Advanced computer skills, including proficiency with Microsoft Office tools such as Excel, Word, and PowerPoint
Experience booking and managing complex travel arrangements
Flexibility to work extended hours, and adapt to changing schedules
A self-starter mentality with the ability to operate independently and take initiative
Executive-level presence and professionalism in all settings
