Executive Administrative Assistant
White Lodging develops and operates a portfolio of award-winning, premium-brand hotels, rooftop bars, and restaurants in some of the country's best cities to live. As the Executive Administrative Assistant, you will provide direct support to the Executive Leadership Team, ensuring seamless coordination, compliance, and accountability across multiple hotel functions.
Responsibilities:
Track audit results (internal, BSA, risk, health inspector, Flight Plan, METS) and follow up on action items.
Maintain permit logs and ensure compliance deadlines are met.
Assist with CapEx and UCERF tracking, including vendor communication and management.
Support Accounting with daily check drop reconciliation and manage mail distribution across departments.
Manage Revinate and social media response tracking for the hotel and outlets.
Provide Marriott/ADMIN system support, including access approvals.
Maintain accurate records for permits, reports, and compliance documentation.
Perform additional administrative tasks assigned by the Executive Leadership Team.
What You'll Bring:
At least 2 years of administrative, compliance, or hospitality experience.
Strong organizational skills with the ability to manage multiple priorities effectively.
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Excellent communication and interpersonal skills.
Preferred: Experience in hospitality operations, vendor management, and capital project tracking.
Preferred: Knowledge of Marriott PMS, Marriott GXP, White Lodging systems, Micros, and Revinate.
