Administrative Assistant

The Administrative Assistant position at the City of Tucson's General Services Department is responsible for providing support to the department by performing various administrative tasks supporting the division's administration including arranging meetings, generating reports, data entry, and other general clerical duties.
Work is performed under the supervision of a Facilities Management Superintendent. This position does not supervise.
Duties and responsibilities include:
Creates, maintains, and enters information into databases.
Sets up and maintains paper or electronic filing systems including recording information, updating paperwork, and maintaining documents.
Schedules and confirms meetings and appointments.
Arranges for conferences and travel reservations for staff.
Prepares and distributes newsletters and communication.
Issues and maintains a record of electronic devices assigned to staff.
Orders and distributes supplies.
Performs all other duties and tasks as assigned.
Working conditions may require early morning, late evenings, weekends, holidays, and overtime. Often works under the following conditions: Mostly office environment.
Minimum qualifications: Education: Six (6) months post high school Experience: One (1) years of relevant directly related experience Equivalency: Any combination of relevant education and experience may be substituted on a year-for-year basis. Preferred Qualifications: One year of relevant experience in a facilities maintenance environment.
