The Executive Assistant & Office Manager serves as a trusted partner to the Chief Executive Officer and a key operational core for Cantex Continuing Care Network. This role provides high-level executive support to the CEO and other senior leaders, while also overseeing the daily operations of the corporate office and coordinating large-scale leadership and Board events.
The ideal candidate is highly organized, proactive, discreet, and polished—capable of managing competing priorities, complex logistics, and confidential matters with excellence. This role requires strong judgment, executive presence, and the ability to anticipate needs in a fast-paced, mission-driven healthcare organization.

Qualifications
Seven to Ten years' experience supporting a CEO or C Level position
Bachelor’s degree preferred
High level of Microsoft products with Advanced skills in PowerPoint, Excel & Word
Demonstrates advanced communication skills, including verbal, written, and listening skills and collaborate effectively with other team members
Experience in writing detailed Memos with strong accuracy and editing ability
Event planning experience for over 200 Leaders
Ability to effectively manage support staff and evaluate performance
Requires critical thinking skills, decisive judgment and high emotional intelligence
Someone who is already very organized and great with details is a must.
Types 50+ words per minute
Ability to read and comprehend complicated instructions and correspondence
Experience planning for short and long term tasks and project initiatives to support the priorities and values of the company
Ability to work with minimum supervision, set goals, create and implement action plans and monitor progress toward goal
Essential Functions
Executive Support to the CEO and Senior Leadership
Provide comprehensive executive administrative support to the CEO, including calendar management, travel booking, meeting coordination, correspondence, and preparation of materials.
Serve as a central point of contact for executive assistant needs for select members of the senior leadership team, ensuring consistency and efficiency.
Anticipate executive needs and proactively manage priorities to optimize the CEO’s time and effectiveness.
Handle highly confidential and sensitive information with discretion and professionalism.
Manage a variety of projects and correspondence in an array of disciplines, which keeps the work fast paced and ever-changing.
Office Management & Operations
Oversee day-to-day operations of the corporate office, ensuring a professional, efficient, and welcoming environment.
Manage office staff to ensure a smooth operations in all areas.
Coordinate office vendors, services, and supplies, serving as the primary point of contact for office-related needs.
Partner with internal teams to support seamless onsite and offsite meetings and executive gatherings.
Reviews and evaluates incoming invoices and expense reports to verify accuracy before forwarding to accounts payable.
Travel & Expense Management
Serve as the primary liaison with Cantex’s travel agency, coordinating complex travel arrangements for the CEO and senior leaders.
Review, prepare, and submit expense reports, ensuring accuracy, policy compliance, and timely reimbursement.
Track executive travel and related documentation as needed.
Leadership Conferences & Events
Plan, coordinate, and execute large-scale leadership conferences for up to 200+ leaders, annual board meetings, and other quarterly meetings including logistics, venues, travel, agendas, and on-site support as needed.
Collaborate with internal stakeholders to ensure events align with organizational goals, branding, and executive expectations.
Manage timelines, budgets, vendors, and communications related to leadership events.
Board of Directors Support
Coordinate annual Board meetings and related events, including scheduling, travel, materials preparation, and on-site logistics.
Support Board communications and meeting preparation in partnership with the CEO and senior leadership, maintaining confidentiality and professionalism.
