Position Summary
The Front Office Supervisor is responsible for overseeing daily front office operations, ensuring efficient patient flow, exceptional customer service, and accurate administrative processes. This role supports compliance with occupational health regulations, coordinates scheduling and intake processes, and leads front office staff to maintain a professional, patient‑centered environment that supports employer clients and injured workers.
Primary Duties and Responsibilities
Supervise and coordinate front office staff including receptionists, schedulers, and patient service representatives
Manage daily patient intake, registration, and check‑in/check‑out workflows
Ensure accurate collection and entry of demographic, insurance, and employer‑related information
Oversee appointment scheduling, including employer accounts, post‑offer screenings, and injury visits
Monitor patient wait times and optimize workflow efficiency
Ensure compliance with OSHA, HIPAA, and occupational health documentation requirements
Serve as primary point of contact for patient concerns and service recovery
Maintain communication with clinical staff to ensure coordinated patient care
Oversee cash handling, copay collection, and reconciliation processes
Develop and maintain standard operating procedures for front office functions
Train, coach, and evaluate front office team members
Support reporting and tracking of employer metrics, including turnaround times and service levels

Qualifications, Education, and Experience
Demonstrated supervisory or leadership experience in a healthcare setting
High school diploma or equivalent required
Associate or bachelor’s degree in healthcare administration or related field preferred
Minimum of 3–5 years of medical front office experience
At least 1–2 years of supervisory experience preferred
Experience in occupational medicine or urgent care setting preferred
