Position Overview
The Warehouse Administrative Specialist plays a critical role in keeping daily warehouse operations organized, accurate, and running efficiently. This position directly supports the Warehouse Admin Lead and works closely with the warehouse, dispatch, and customers to ensure all inventory, billing, and documentation are handled with precision.
This role provides hands‑on support to the Warehouse Admin Lead’s daily responsibilities, including inventory management, vendor communication, and administrative coordination, while building a strong understanding of warehouse operations and SOPs.
This is a fast‑paced role that requires strong attention to detail, organization, and the ability to problem‑solve in real time.
Key Responsibilities
Warehouse & Inventory Coordination
Process inbound and outbound shipments in the warehouse management system (WAM Logistics (Akatia)/Salesforce)
Support the handling of POs, backorders, transfers, and will‑call orders
Maintain accurate inventory records, including pallet counts, locations, and adjustments
Support cycle counts, inventory audits, and discrepancy investigations
Assist in resolving inbound/outbound discrepancies and damaged freight
Documentation & Data Entry
Enter and verify bills of lading (BOLs), receipts, and shipment details
Ensure all paperwork is complete, accurate, and properly filed
Track and update shipment statuses and delivery confirmations
Help ensure warehouse emails and documentation are handled promptly
Support vendor and customer communication related to warehouse activity and inventory
Coordinate with dispatch and drivers to align on pickups, deliveries, and timing
Communicate discrepancies, delays, or issues quickly and clearly
Assist with new account and part setup and respond to basic billing‑related questions
Operational & Team Support
Support the Warehouse Admin Lead in executing daily administrative operations
Help schedule inbound/outbound appointments
Follow established SOPs for inventory control and documentation standards
Assist with training efforts by reinforcing processes and learning cross‑functional tasks
Help identify inefficiencies and suggest process improvements
Supports the Dispatch team by entering billing data into our TMS
Qualifications
1+ years of administrative or warehouse support experience preferred
Experience in logistics, transportation, or 3PL environment strongly preferred
Strong attention to detail and organizational skills
Comfortable working in fast‑paced, high‑volume environment
Proficient in Microsoft Office (Excel, Outlook)
Experience with warehouse management systems (e.g., WAM, Salesforce, or similar) is a huge plus
Strong communication skills, both written and verbal
Quarterly Profit Sharing: You will be eligible for quarterly profit sharing beginning one year from your start date.
Health Insurance: 90% employer‑paid health and welfare coverage for you and your dependents, beginning the first of the month following 30 days of employment.
Paid Time Off: Employees receive 1 week of vacation after 1 year of service, 2 weeks for years 2-9, and 3 weeks starting at 10 years of service.
Sick Leave: Accrued at 2 hours per bi‑weekly pay period.
401(k): A 10% employer‑funded contribution beginning after 12 months of employment and with bi‑annual entry.
