Position Overview
We are seeking a highly organized and detail-oriented Project Assistant / Financial Assistant to support facility operations at a large-scale site in Tucson, AZ. This role plays a key part in ensuring smooth administrative and financial processes across a dynamic facilities management environment.
The ideal candidate is proactive, analytical, and comfortable handling both financial and administrative responsibilities while working independently and collaboratively.
Key Responsibilities
Process vendor invoices and assist with preparing detailed client invoicing
Support office operations, including organizing procedures, maintaining filing systems, and managing correspondence
Submit purchase requisitions and coordinate ordering of office supplies
Analyze reports, summarize findings, and identify trends to keep management informed
Assist with budget preparation, track expenditures, and analyze variances
Support financial planning by helping implement corrective actions when needed
Schedule and assign work orders using a computerized maintenance management system (CMMS)
Coordinate with vendors, service providers, and landlords to ensure timely and accurate invoicing
Provide general administrative and clerical support to the team
Required Qualifications
High school diploma or GED
Strong communication and interpersonal skills with the ability to work across teams
Highly organized with strong attention to detail and accuracy
Solid numerical, organizational, and time management skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry systems
Experience with accounting or financial processes
Strong analytical and problem‑solving abilities
Ability to work independently with minimal supervision
Must be able to pass required background screening
Preferred Qualifications
Associate's degree or higher in Business Administration, Accounting, or related field
Familiarity with accounting procedures and financial reporting
Experience working with CMMS or similar systems
