General Statement
Under the supervision of the Research & Economic Development (RED) Service Centers Director, the Asset and Service Contract Manager will be responsible for managing inventory of all capital research equipment housed at MSU-Bozeman, from equipment acquisition to disposal. The individual in this position will have decision‑making ability to lead major projects, improve processes, and develop and implement policy, with the ultimate goal of enhancing University compliance with federal asset requirements and enhancing the efficiency of asset procurement.

Duties and Responsibilities

Maintain and manage an accurate and detailed inventory of all capital research equipment housed at MSU-Bozeman in accordance with State, Federal and University policies, subject to State, Federal and internal audits.

Review capital research expenditures through purchase orders, invoice approval queues, and purchasing card purchases for MSU-Bozeman.

Work with Property Management staff and supervisor to make updates to the Property Management Procedures manual.

Prepare documentation for federal audits of assets and assist the Office of Sponsored Programs with federal audit visits.

Develop and implement RED policies and procedures for tracking and maintaining a comprehensive and accurate list of capital research equipment.

Conduct physical inventories in research laboratories and service centers.

Act as a liaison between researchers/service centers and Property Management to review requests for disposal of capital research equipment; determine best disposal methods and coordinate with Facilities Services regarding removal of items.

Collaborate with Facilities, Sustainability, Office of Sponsored Programs, departments, and service centers for relocation of capital research equipment within or outside of the university via Property Asset Redistribution Request forms.

Assist the RED Service Centers Director with developing and managing a shared research equipment list in the Stratocore PPMS management platform.

Support RED Service Centers (i.e. Core Facilities) with maintenance of fee‑for‑service research equipment listings in the Stratocore PPMS management platform.

Coordinate with the RED Service Centers Director to avoid redundancy in capital research equipment purchases.

Manage shared research equipment service contracts, from initial contracting to renewal.

Track depreciation of F&A funded assets in RED Service Centers.

Assist the RED Service Centers Director with managing a loan program to help fund strategic capital equipment replacement.

Required Qualifications – Experience, Education, Knowledge & Skills

Property management experience or general business experience or research lab experience that includes maintaining, processing and verifying detailed records with a high degree of accuracy or an equivalent combination of education and/or experience.

Demonstrated experience using software for performing detailed and accurate data entry.

Demonstrated experience providing a high level of customer service in a positive, professional and helpful manner to a diverse range of individuals.

Preferred Qualifications – Experience, Education, Knowledge & Skills

Bachelor’s degree in a science‑related field and/or familiarity with laboratory settings.

Relevant knowledge of state and university business property management procedures, policies, and regulations.

Relevant knowledge of federal property guidelines and documentation requirements.
