Job Description
The Document Control Specialist at Zachry Group supports EPC projects by managing, tracking, and maintaining engineering, procurement, and construction documents in alignment with company standards and project requirements. This role ensures accurate version control, timely distribution, and secure archival of drawings, specifications, and project records across multidisciplinary teams. Success in this position requires strong attention to detail, organizational skills, and prior experience working in a fast‑paced EPC environment supporting Zachry Group project execution.
Responsibilities
Read and understand Joint Venture, Consortium or Partnership agreements (as applicable)
Read and understand purchase order language in Vendor and Subcontract PO’s
Read and understand the technical details, drawings, specifications, codes, and standards set forth by the project to be able to prove entitlement for change management.
Lead team to develop entitlement and the development, substantiation, submission, and close out of potential changes.
Monitor and expedite change resolution.
Ensure proper tracking of extra work cost and hours by using timesheets and / or event capture software.
Develop forecasts for extra work cost and schedule.
Support preparation and distribution of periodic reports, tracking tools, dashboards, scorecards, etc.
Develop Client or Engineering change orders as allowed by contractual agreements.
Ensure claims are managed by teams within the framework of Advanced Work Packaging (AWP) to capture impacts, track changes, and substantiate claims.
Review Request for Information (RFI), Non-Conformance Reports (NCR), Design Change Notices (DCNs), Field Work and Technical Instructions, and other deviations to drawings, specifications, and plans; develop and process Back charges.
Develop basic estimates as back up documentation.
Prepare documents for budget transfer or cost recovery based on contractual agreements.
Maintain interpersonal relationships to interface with Operations, Engineering, Procurement, Subcontracts, QC, Enterprise/JV Accounting, Vendors and Client.
Cultivate a culture and environment of communication across EPC Project Team to identify scope deviation, illustrate effect, understand cause, and propose effective controls.
Implement training for Change Management Staff, EPC Departments and Stakeholders.
Support Operational and Technical craft supervision needs regarding drawings and specification, data analysis, reporting, and engagement with design engineers for extra work issues.
Qualifications
Highschool Diploma/GED equivalent
Excellent communication skills.
Must be computer proficient including a proficiency in Microsoft Office applications. Mid-level Excel background formulas, delimited (must pay attention to details and understanding the data you are working with), importing data.
Must be organized and have the ability to multitask.
Quickly learn processes and adapt to changes.
Ability to work varying hours as required to support construction operations.
