About the Role
Southwest Virginia Community Health Systems is seeking a highly organized, mission-driven Program Coordinator to support operations at New Day Recovery (NDR), our substance use disorder (SUD) treatment program. This role combines behavioral health program support, front-office coordination, compliance oversight, and administrative leadership to ensure efficient and safe service delivery.
The Program Coordinator plays a critical role in patient access, referral coordination, scheduling, insurance verification, data management, and day-to-day site operations. This position ensures effective communication across the treatment team while maintaining compliance with organizational policies and regulatory requirements.

Key Responsibilities
Program & Operations Coordination
Coordinate schedules for program staff and treatment team members
Manage timekeeping, PTO requests, and staff coverage to maintain operational continuity
Oversee daily site operations to ensure efficient and safe patient flow
Conduct required site safety drills and meetings
Ensure compliance with organizational policies and external regulatory requirements
Monitor and ensure completion of critical incident reporting and required notifications
Patient Access & Front Office Support
Provide front office check-in and check-out services
Schedule patients individually and manage program calendars
Coordinate with referral sources and individuals seeking services to ensure timely treatment access
Respond to patient inquiries and concerns professionally and promptly
Ensure smooth communication between patients and treatment team members
Insurance, Billing & Financial Oversight
Verify insurance and coordinate billing information between patients and the billing department
Collect and manage patient payments when applicable
Maintain petty cash, cash drawer, and financial logs in accordance with policy
Data & Administrative Support
Collect, enter, and maintain accurate patient data
Ensure effective documentation and information flow within the program
Maintain adequate supplies and resources for program operations
Provide general office administration support
Perform other duties as assigned in support of program and organizational goals
Required Qualifications
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred in healthcare administration, behavioral health, or related field)
Strong organizational and time management skills
Experience with scheduling systems and electronic health records (EHR)
Knowledge of insurance verification and healthcare billing processes
Ability to manage confidential information in compliance with HIPAA
Strong interpersonal and communication skills
Ability to manage multiple priorities in a fast-paced clinical environment
Preferred Experience
Experience working in SUD treatment or MAT programs
Familiarity with compliance standards applicable to behavioral health programs
Experience handling cash management and financial reconciliation
Supervisory or operational coordination experience
