Administrative Support Coordinator

JOB SUMMARY/PURPOSE
This position will coordinate all administrative functions and provides multifaceted administrative support to department management and staff. Responsibilities typically include: organizing, editing and formatting filings; scheduling appointments, distributing incoming and outgoing mail, maintaining the calendar, making travel arrangements, arranging meetings, etc. Responsibilities also may include running and tracking projects and programs associated with senior management administrative support, accurately producing a variety of reports and presentations using the appropriate software for word processing, graphics and spreadsheets, preparing and/or updating functionally related reports and records, developing and/or participating in special projects.
JOB DUTIES/RESPONSIBILITIES
Provide administrative support to Contact Center Managers. Answer multiple phone lines as well as provide back-up support for other administrative staff. Monitor email communications and maintain manager's calendars; schedule events, travel arrangements and departmental meetings; and arrange conference calls, meeting facilities and catering. Prepare formal correspondence, routine documents, and presentations given minimal direction. Prepare spreadsheets, presentations, and interoffice correspondence including copies. Handle multiple assignments, work within deadlines, and maintain confidentiality of department and Company information. Be proactive in forwarding work issues to the appropriate managers/supervisors. Maintain well-organized and detailed filing system and support compliance with applicable record retention policies. Process expense reports and input employee worked hours into payroll system. Communication with internal and external business contacts/consultants and maintain contact lists. Coordination with executive and senior administrative staff to handle requests and queries from supervisors and/or managers. Assignments may involve overtime hours. Regular attendance is essential; working remotely is not possible. Provide general support to visitors. Various additional duties or assignments requested by senior management.
MINIMUM REQUIREMENTS
Minimum education required of the position Typically requires vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree) Minimum experience required of the position Asst-Administrative I (S) - 0-2 years related experience Asst-Administrative II (S) - 2-4 years related experience Asst-Administrative I (S) - 4-6 years related experience Asst-Administrative I (S) - 6-8 years related experience Ability to work independently given minimal direction; ability to work in teams is essential Any certificates, licenses, etc. required for the position Must be EEI SASS test recommended.
