Patient Access Representative
The Patient Access Representative is primarily responsible for serving patients' needs by scheduling appointments for a variety of primary and specialty providers. They will also support the registration of new patients, and check in and check out patients for appointments. The person in this position must have strong computer skills, along with the ability to learn new protocols and incorporate them into the current work flow.
Essential Responsibilities
Patient Registration
Gather all needed demographic information and enter/update guarantor information
Update existing and new insurances using software program to verify insurance status
Obtain necessary signatures from patients and update when needed while following compliance requirements in providing patient right's information as wanted
Scan in all needed identification documents and insurance cards
Collect copays and payments as required
Checking Patients In and Out
Read all appointment notes and messages to ensure paperwork is given to patients and unique situations are addressed following station and provider protocols
Follow billing protocols outlined by Patient Accounts Services
Review insurance eligibility responses and make needed insurance updates
Follow Provider instructions in regards to follow up visits, labs, and imaging when provided
Provide every patient with a thorough summary of their visit
Scheduling
Answer calls in a friendly and professional manner
Schedule appointments utilizing cheat sheets to ensure accuracy
Schedule lab and imaging appointments and use EPIC (medical record software) messaging to request needed orders from Provider nurse pools
Reschedule missed, bumped, or cancelled appointments as directed by nursing/provider protocols
Notify nurses of additions or cancellations on same day schedule for speciality providers
Notify Account Services on alert directs or as appropriate
Manage MyChart patient scheduling requests and direct scheduling; ensure accuracy of appointment for provider and insurance guidelines
Manage work queues to ensure patients are contacted and scheduled for needed appointments
Required Qualifications
High school graduate or equivalent
Preferred Qualifications
Prior healthcare experience
Medical Secretarial training, medical terminology, or related experience
Knowledge, Skills and Abilities
Strong customer service skills when interacting with all patients, family members, and healthcare team
Knowledge in computer software, including Microsoft Office
Ability to remain professional, calm, and maintain a caring composure when faced with difficult or stressful situations in a higher acuity patient setting-
Ability to multi-task with emphasis on accuracy and patient privacy
Ability to learn new procedures and protocols while incorporating them into current work flows
Strong communication and organizational skills and pay attention to detail
