Ravago Office Services Coordinator
Responsible for managing the guest experience who creates the all-important first impression of Ravago.
Essential Functions
Welcome visitors and direct them to the relevant office/personnel.
Carrying out clerical duties such as answer, screen, and forward incoming phone calls, respond to emails, and prepare documents, including office correspondence, work in with excel to maintain records, and some light reporting maybe required.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor dashboard, assist with issuing visitor badges and guest parking tags)
Maintain general office files, including parking files, visitor/guest data, and other files related to the company's daily office operations.
Assist in ordering office supplies, equipment, and submit for furniture repair.
Create work orders for maintenance of office facilities, and equipment.
Assist with local employee engagement events.
Back up Office Services Coordinator as needed with mail, office supplies, etc.
Perform other relevant duties such as photocopying, scanning, faxing as needed.
Water plants weekly and open/close blinds in shared spaces
Review events calendar daily for Stratosphere, Titan and Atlas on 15th floor and other large conference spaces
Responsible for sending out packages, overnight mail via UPS including payroll checks
Responsible for printing invoices daily and mailing them out
Assist with putting out creamers and fruit per floor weekly
Responsible for printing out weekly parking passes and sending out digital parking passes to those that request it
Responsible for communicating with Property Management on building changes/updates
Provide Office Services Manager with a monthly supply list of what is needed at Reception
Support all employee-related events happening on the 15th floor (at times may require an earlier start to receive breakfast).
Be ready to receive and welcome all new hires, working closely with Recruiting
Support the Office Services Team with other duties as assigned
Competencies; Knowledge, Skills, Abilities (KSA):
Confidentiality is a MUST.
The ability to operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer.
Excellent verbal and written communication skills
Working knowledge of mail processes such as postage machine, UPS, and Federal Express.
Multi-tasking, organization and time-management skills is important, with the ability to prioritize tasks.
Professional appearance, demeanor and presence.
Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams). Ability to maneuver various online platforms and/or software.
Attention to details.
Ability to work both independently and in a team environment.
Schedules may vary from week to week based on business demands in excess of 40 hours with or without notice.
Minimum Qualifications/ Education / Experience / Certifications:
Education:
High school diploma. Associates degree preferred.
Experience:
Proven work experience as a receptionist, front office representative or similar role preferred
3 or more years' office administration experience preferred. Hands-on experience with office equipment (e.g. computers, copy machines and printers)
Licenses / Certifications:
Valid driver's license required
Language:
Proficiency in English required
Bi-Lingual Spanish or Portuguese is a plus

This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Ability to sit, walk, climb, and kneel for extended periods of time.
Use of hands to finger, handle or feel objects, tools, or controls.
Ability to endure hot and cold temperatures.
Must have color vision.
