
Clinic/Practice Assistant, General Surgery

We are seeking a full‑time, 40‑hour Clinic/Practice Assistant to join our General Surgery team onsite, Monday through Friday from 8:30 am–5:00 pm.

Job Summary
Perform both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Carry out basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check‑in, check‑out duties.
Essential Functions
Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
Make patient appointments and maintain appointment records.
Greet and assist patients.
Answer telephones, assist callers with routine inquiries, and schedule appointments.
File materials in patient folders and print appointment schedules.
Process patient billing forms and scan documents into the patient medical record / LMR.
Call for patient medical records and laboratory test results.
Open and distribute unit mail or faxes.
Type forms, records, schedules, memos, etc., as directed.
May be required to accept co‑payments.
Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
Acts as a “Super User” for scheduling, registration, and billing systems.
Provides assistance and training to others in these areas.
May perform more complex or specialized functions (e.g. surgical scheduling, schedule changes/blocking) at an advanced competency level.
Qualifications
High School Diploma or Equivalent required.
Certified Medical Administrative Assistant (CMAA) – preferred.
Experience
2–3 years office experience required.
Knowledge, Skills and Abilities
Proficiency with all Office Suite applications, knowledge of office operations and standards, and understanding of office procedures including filing, copying, scanning, printing, and faxing.
Ability to use phone system and manage non‑routine phone calls and solve routine issues as appropriate.
Effective written communication across audiences and clear verbal communication, including composing/editing email, memos and letters, and capturing accurate messages.
Managing time for oneself and others; well organized and possessing good time‑management skills to juggle multiple tasks, follow established protocols, and work within systems.
Additional Job Details
This role is well suited for someone who enjoys teamwork, takes initiative, and feels confident working in a busy outpatient clinic. 2–4 years of experience in healthcare or customer service—ideally in a medical office setting—along with familiarity with medical terminology and strong computer skills are strongly preferred.
