
Executive Assistant to the Superintendent and Board of Education

Reports to:
Superintendent & Board of Education
Position summary:
Provides clerical services to the Superintendent and Board of Education.
Position responsibilities
Attends and takes minutes for Board of Education meetings.
Prepares public notices to announce Board meeting locations, dates, times, and details.
Compiles agendas and supporting documents for Board of Education meetings and Board Committee meetings.
Releases agendas/electronic materials to Board of Education in advance of Board meetings.
Coordinates and manages IASB PRESS Plus Policy updates and policy changes based on board and administrative discussions as well as administrative procedures.
Supports Board of Education communication and coordination.
Coordinates food preparation and delivery or pickup for Superintendent and Board-hosted meetings.
Interfaces with district legal counsel as requested by the superintendent.
Prioritizes/manages multiple priorities in parallel.
Greets and directs vendors, employees, students, parents, community members, etc.
Answers communications from staff, applicants, and parents (e-mails, phone calls, letters).
Supports the management of crisis/emergency situations as deemed necessary.
Supports administrators to enhance overall team efficiency; develops meeting agendas and plans/coordinates them effectively.
Acts on behalf of Superintendent to answer inquiries.
Supports the Superintendent by managing day to day tasks and flow of information.
Coordinates annual disposal of records in accordance with state law.
Prepares and follows up on Board/Superintendent workshop/conference requests.
Schedules appointments for Superintendent.
Coordinates with administration to ensure completion of reports for Illinois State Board of Education (ISBE) in IWAS.
Maintains master files of all matters related to the operations of the Superintendent and Board of Education.
Tracks/processes grievances received and schedules required hearings.
Prepares requisitions for materials and keeps records of same.
Notarizes documents for district as needed.
Prepares correspondence, brochures, spreadsheets, and PowerPoint presentations.
Oversees formal grievance process.
Prepares annual list of Ethics Filers for Cook County and notifies affected staff.
Maintains training log for Board and posts on website.
Completes election informational packet for Board elections.
Completes annual Open Meetings Act (OMA) training and acts as OMA Designee for the District.
Completes annual Freedom of Information Act (FOIA) training and acts as FOIA Officer for the District.
Manages public relations for District 215, including: writing press releases, maintaining district social media accounts, updating district website, acting as a liaison to press and public/elected officials.
Other duties as assigned.
Essential skills and experience
Experience as an executive assistant or equivalent
High school diploma or equivalent required
Proficiency in Microsoft Office applications (particularly Word, Excel, and PowerPoint) and Google Suite
Knowledge of basic office procedures and operation of office machines/equipment
Must be discreet and maintain strict confidentiality on student and personnel matters
Strong communication and interpersonal skills
Demonstrates a positive “can-do” attitude
Possesses superb tact, judgement and integrity
Detail-oriented
Ability to prioritize
Notary Public
Valued but not required skills and experience
Experience working in a high school setting
Experience in event planning
Associate or Bachelor’s degree

Physical demands: While performing duties of job, employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects; reach with hands and arms; talk and hear. Employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work environment: The noise level in the work environment is usually minimal.
Terms of Employment
Full-time, 12-month work year
Illinois Municipal Retirement Fund (IMRF) position
Starting salary between $64,480 and $74,880 based on verified education and experience

Annual performance evaluation based on Board of Education policy and the Work Rules & Regulations for Administrative Support Staff
