
Outpatient Assistant - Pathways

Position Objective
Functions as the receptionist for the back desk, greeting patients and answering incoming calls. Checking in patients and ensuring all appropriate forms are completed and signed by the patient.
Essential Job Duties
Answer intake calls, completing encounter in EPIC to gather sufficient history of substance use and document insurance details.
Schedule appropriate appointments in a timely manner and refer caller to appropriate staff if needed.
Interact with clinical staff as needed; attend and participate in staff meetings.
Assemble new outpatient records with all contents needed.
Provide support, maintain chain of custody and clearly and accurately label outpatient urine specimens for drug screens according to established policies and procedures. Collect payments and provide receipts for drug screen payments as needed.
Complete patient registration in the electronic medical record. Provide information and support to Pathways staff on the registration system.
Provide administrative assistance to the Outpatient Department, managing office functions including supply inventory, billing and invoices.
Analyze, sort, compose and maintain statistical information for preparation of all reports such as C PI/QI reports.
Post charges on a daily basis.
Cover for the financial counselor as needed. Provide front desk coverage as needed.

Educational/Experience Requirements
High school diploma or equivalent.
Three years in a clerical position requiring inventory and entry of patient/business charges.
35 WPM typing speed, numerical skills and prior computer experience required.
Data entry and management of database software and exposure to medical terminology preferred.
Ability to work flexible hours.
Focused individual with strong attention to detail.
Experience in extensive public contact and handling difficult customer service requests.
Required License/Certifications
None.

There is a reasonable expectation that employees in this position will not be exposed to blood‑borne pathogens.
Physical demands: Medium work. Exerting up to 50 pounds of force occasionally, up to 30 pounds of force frequently, and up to 10 pounds of force constantly to move objects. The physical demands and work environment described are representative of those encountered while performing the essential functions of this position. Pay Range
$17.42 – $26.14 USD.
