Duties Description
The Office Assistant 1 (OA1) will work in the Office of Human Resource Management functioning as the receptionist and providing clerical and data entry support to 4–5 Human Resources Specialists. The OA1 must possess strong communication and computer skills, proficiency with Microsoft Word and Excel preferred, and the ability to work with minimal supervision. The position requires organization and attention to detail.

Answering phones and directing calls

Receiving a high volume of e‑mails and sending appropriate replies

Maintaining tracking spreadsheets as needed

Filing and scanning documents

Reviewing shared mailboxes, printing responses, and posting files

Handling all aspects of mail, including certified and daily mail

Obtaining additional documentation or follow‑up as needed

Updating vacancy spreadsheets with postings

Preparing onboarding packets and candidate folders

Creating folders for personal history files

Scheduling interviews and booking conference rooms for open interviews

Disseminating recruitment emails and coordinating interview panel logistics

Maintaining correspondence regarding interview scheduling, results, and candidate status

Assisting with various projects as needed

Providing front‑door coverage as required

Carrying out other duties as assigned

Minimum Qualifications
Non‑Competitive : There are no minimum education or experience requirements for this title.

Open Competitive : Candidates must be reachable for appointment on the Current Civil Service Eligible List for this title.

Transfer : Candidates must have one year of permanent competitive, non‑competitive, or 55‑b/c status in the posted title and be eligible for lateral transfer; or be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer may not be a second consecutive transfer that results in an advancement of more than two salary grades.

Possess the minimum qualifications for the title as established by the Department of Civil Service.

Meet applicable minimal mental and/or physical requirements for the job, with a reasonable accommodation if necessary.

Hold a current Eligibility Letter from the NYS Department of Civil Service and be able to provide it upon request.

Employment Information & Benefits
Starting salary reflects the Mid‑Hudson adjustment and the statutory hiring rate for CSEA Grade 6 ($36,232) plus $2,000 Mid‑Hudson adjustment ($44,828).

Thirteen paid holidays each year.
