Investment Administrator – Full Time

Position Overview
We are seeking an experienced Investment Administrator with Schwab custodial platform expertise to support our growing advisory practice. This role is critical to ensuring the accuracy, efficiency, and compliance of our client account operations and investment administration processes. The ideal candidate is detail-oriented, highly organized, and experienced in managing end‑to‑end account administration within an RIA environment.

Key Responsibilities

Client Account Administration

– Process new account openings, transfers (ACATs), and account maintenance through Charles Schwab Advisor Center; prepare and review account paperwork for completeness and accuracy prior to submission; monitor account onboarding pipeline and proactively resolve outstanding items.

Client Service & Communication

– Serve as a point of contact for client service requests related to account administration; communicate professionally with clients, custodians, and internal stakeholders; support advisors in delivering a high‑touch client experience.

Compliance & Documentation

– Maintain accurate client records in accordance with SEC and firm compliance requirements; ensure proper documentation, record retention, and adherence to internal policies; assist with audit requests and compliance reviews as needed.

Operational Support

– Support portfolio administration and reporting processes; identify and recommend process improvements to enhance operational efficiency; collaborate with compliance, operations, and advisory teams.

Qualifications
Required:

3+ years of experience in an RIA, wealth management firm, or broker‑dealer.

Hands‑on experience with Charles Schwab Advisor Center (required).

Strong understanding of account types (individual, joint, IRA, trust, etc.) and transfer processes.

Experience with ACATs, cashiering, and account maintenance workflows.

High attention to detail and strong organizational skills.

Preferred:

Experience with portfolio reporting systems.

Familiarity with SEC regulatory environment and compliance expectations.

Bachelor’s degree in Finance, Business, or related field.
