Office Manager - Cardiovascular Associates of Victoria
The Office Manager is responsible for administration, direction and coordination of assigned CMP staff, supervising all support personnel, appointing supervisors and delegating authority and responsibility where needed. The Office Manager works closely with the Practice Manager, clinic personnel, department managers and healthcare professionals as well as external contacts and vendors, utilizing effective communication and organizational skills to achieve departmental goals as determined by Administration.
Responsibilities
Handle the hiring, firing, training and promotions of clinic support personnel, ensuring interim and annual evaluations are completed timely.
Determine training and development programs for clinic support staff, developing on-the-job and/or in-service training programs and arranging for such opportunities.
Ensure that the assigned CMP practice is adequately staffed with trained support personnel, evaluating job workloads to ensure equitable distribution and determining whether reductions or additions in personnel are necessary.
Listen and respond to medical and other staff to hear complaints, accept ideas, consult and act as a liaison between assigned clinics and CMP Practice Manager.
Ensure that all equipment within assigned clinics is maintained in good repair or is replaced as needed and that physical environment is safe.
Ensure all billable services are captured, posted and remitted to CMP Business Office, on a timely basis by developing and implementing processes and facilitating coordination between providers, staff and CMP Business Office.
Support and supervise the clinics’ billing systems and collection processes, ensuring proper administration of clinic/hospital policies and procedures on accounts receivable and collection accounts.
Ensure all policies regarding cash handling, POS collections and accurate data entry of patient demographic and insurance are followed.
Continuously review all factors affecting the cost of administration and the operation of assigned clinics, taking necessary corrective action to keep costs commensurate with administrative objectives.
Hospital
Adheres to organization-wide and other applicable policies and procedures.
Day-to-day performance complies with the hospital’s Service Excellence Behavioral Expectations.
Performs within the prescribed limits of the hospital’s Ethics, Compliance and Confidentiality Program guidelines.
Performs within professional Scope of Practice at all times.

Qualifications
Required:
2+ years management experience in medical office or equivalent setting.
Preferred:
Experience related to clinic specialty.
