Job Title: Member Database and Operations Coordinator
Reports to: Executive Director
FLSA Status: Non-Exempt
Organization Overview
The Nashville Bar Association is a 501(6) organization of attorneys and legal professionals in the middle Tennessee area. Our mission is to advance the legal profession and promote justice by connecting, serving, and educating our members and the public. The Nashville Bar Foundation is a 501(3) organization whose mission is to advance justice through targeted non-profit financial support, civic-minded education, and the development and celebration of a respected legal community.
Responsibilities
Answer incoming calls and manage voice mail and away messages
Process new membership applications and assist with dues renewals
Maintain and regularly update the member database to ensure accuracy and completeness
Check mailroom and distribute incoming mail
Update public and internal staff calendars as needed
Serve as the primary contact for the Memorial Service Committee and coordinate logistics for services held in May and November
Manage conference room reservations and setup
Act as the liaison for building-related communications and maintenance requests
Maintain kitchen and workroom areas, including printers
Monitor and maintain list of supplies needed
Assist with processing and scanning deposits for NBA and NBF
Send various committee meeting notices, as neededAssist with CLE and Events, as needed
Perform additional administrative and operational tasks as assigned
Qualifications
Ability to work independently
Time management and multitasking skills
Data entry and database management
Computer and software skills, including Microsoft 365, Zoom, and WebEx
Attentive to Details
Skill using telephone, printer, photocopier, calculator
Ability to lift 25 pounds
Qualifications, Education and Experience
The required knowledge, skill and abilities to satisfactorily perform job duties are normally acquired through attainment of an associate’s degree and a minimum of two years experience, or an equivalent combination of education and experience.
Work Schedule
20 hours per week Tuesday-Thursday in office; occasional evening and weekend hours required for events and programs-schedule adjusted accordingly
