Job Summary
The Proposal Associate is responsible for preparing accurate, timely, and competitive price quotations for customers. This role involves gathering requirements, analyzing product or service specifications, reviewing cost data, and ensuring estimates align with company pricing strategies and margins. The Quoting Specialist collaborates closely with Business Development, operations, finance, and technical teams to validate scope, identify risks, and deliver well‑structured quotes that support successful customer proposals. The following duties are normal for this position; however, they are not to be construed as exclusive or all‑inclusive. Other duties may be required and assigned.
Essential Duties And Responsibilities
Prepare accurate and timely quotations based on customer requests, specifications, and pricing guidelines using the company’s pricing tools.
Collaborate with Scientific Affairs, Laboratory Services, Procurement, Partner laboratories, and Operational teams to gather necessary input, as needed.
Partner with Business Development Directors to ensure that clinical study quotes are complete and address the client’s needs.
Support continuous process improvement efforts to streamline quoting workflows and reduce turnaround times.
Update CRM database, as needed, and ensure accuracy of departmental information.
May (based on business unit and/or team expectation) be responsible for managing opportunities of low to medium complexity.
May (based on business unit and/or team expectation) shadow and/or assist more senior colleagues on opportunities of medium to high complexity.
Participate in Proposal Management departmental initiatives.
Assist in preparation of departmental reports, as assigned.
Provide back‑up assistance for other departmental functions, when needed.
Perform all other related duties, as assigned.
Education And Experience
High School Diploma required. Associates degree or Bachelor’s degree in science, business, or marketing related discipline preferred.
1-5yearscustomer service or related experience.
Experience inacontractresearchand/or research setting preferred.
An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
Skills And Ability
Reading and interpreting technical documents or scopes
Proficiency with quoting/configuration tools and CRM systems
Strong Excel skills (formulas, pivot tables, lookups)
Time management and workload prioritization
Ability to manage multiple simultaneous quote requests
Clear written and verbal communication
Ability to clarify requirements with sales teams or customers
Cross‑functional collaboration with sales, operations, finance, and technical teams
Problem‑solving and critical thinking
Adaptability in fast‑paced environments
Supervisory Responsibilities

Physical Demands
Remote/Hybrid, Other Desk‑Based Roles
Prolonged periods of sitting at a desk and working on a computer.
Prolonged use of computer and headphones for conference calls.
Communicate effectively via phone, video, and email.
Use hands and fingers to operate a computer and other office equipment.
