Role
We are looking for a Guest Experience & Events Manager who understands that luxury is not about excess — it's about precision, warmth, and anticipating what someone needs before they know they need it. You will own the end‑to‑end guest journey for every retreat, workshop, and intensive held at Rooted Oaks: from pre‑arrival coordination to final departure.
You will lead a small on‑site hospitality team and personally ensure that every guest feels welcomed, seen, and cared for from the moment they arrive. This is a hands‑on, relationship‑first role. You will be present. You will be the face of the experience.
What You’ll Do
Pre‑Event Execution
Coordinate with program leads to fully understand the vision, schedule, and guest needs for each event
Manage pre‑arrival communications: confirmations, arrival windows, dietary needs, room assignments, and logistics
Prepare the property — rooms, common spaces, welcome amenities — to the standard of a boutique luxury resort
Brief and prepare support staff for each guest cohort
On‑Site Guest Experience
Greet every guest personally upon arrival
Oversee bag handling, room delivery, and initial property orientation
Welcome each guest into the main house, offer refreshments, and provide a warm, unhurried introduction to the property
Anticipate needs throughout the stay — quiet check‑ins, room touches, dietary accommodations, schedule reminders
Handle any issues that arise with discretion, calm, and care
Event Coordination
Serve as the operational point of contact for all retreat and workshop logistics
Coordinate room turnovers, meal timing, transportation, and activity flow with internal teams
Maintain a master run‑of‑show for every event and adapt in real time when needed
Debrief after each event and implement improvements
Team & Vendor Oversight
Lead and schedule on‑site hospitality staff (guest reception, housekeeping support, F&B coordination)
Manage vendor relationships relevant to guest experience (linens, florals, specialty provisions, transportation)
Uphold and help develop property standards and SOPs
What We’re Looking For
Must‑Haves
3+ years in luxury hospitality, high‑end event coordination, boutique hotel management, or similar
Exceptional attention to detail — you notice what others miss
Natural warmth with guests; calm and confident under pressure
Strong organizational and communication skills
Comfort working weekends and event days (schedule varies seasonally)
Willingness to be on‑property during active retreat weekends
Nice‑to‑Haves
Background in wellness, retreat, or experiential hospitality settings
Experience managing small hospitality teams
Familiarity with ranch, outdoor, or non‑traditional venue environments
Compensation & Benefits
Salary: $65,000 – $85,000 annually, commensurate with experience.
Performance incentives based on guest satisfaction and event execution.
On‑site meals provided during active retreat weekends.
A one‑of‑a‑kind work environment — no two events are the same.
