Overview
The Program Specialist/Academic Affairs Assistant will provide administrative support and general coordination of day-to-day office operations including providing customer service, maintaining schedules, coordinating meetings, general bookkeeping, and other administrative support tasks.
Responsibilities
Responsible for collecting and processing member Tuition Assistance and Continuing Education applications.
Liaise with colleges about student enrollment and invoices for scholarship and tuition vouchers.
Manage calendars, schedule appointments, meeting, workshops and other program activities.
Coordinate logistics for career counseling, student employment services, tuition assistance and other offered programs.
Greet visitors, answers phones, respond to inquiries, and resolve issues.
Perform a wide variety of administrative tasks including data entry and the drafting, editing, and revision of letters, reports, and other materials.
Provide support to new students; ensuring completion of applications, scheduling interviews, following up on missing information or documents, and creating and sending letters of acceptance.
Review, enter and submit expenses for reimbursement/payment.
Assist with processing scholarships and student aid requests.
Schedule and confirm appointments and maintain calendar.
Qualifications
Bachelor’s degree
in education, counseling, human/social service, healthcare or related fields required
Minimum two (2) years' experience working in adult education, training or workforce development required
Intermediate skill level in Microsoft Word, Excel and PowerPoint preferred
Working knowledge in healthcare education programs, adult education, and/or labor management training organization’s operation preferred
Ability to maintain strong relationships with staff and all stakeholders
Understanding of training or workforce development principles, best practices in case management, coaching and educational/career pathways
Ability to maintain confidential information and handle sensitive issues
Excellent verbal and written communication skills
Excellent presentation, facilitation and customer service skills
Detail orientated and ability to handle multiple projects in a fast-paced environment with tight deadlines, while working under pressure
Ability to work flexible hours including evenings and weekends required
