Position Overview

The Accessioning Supervisor is responsible for the supervision of personnel and daily operations of the accessioning department; including, but not limited to, specimen receiving and opening, sample accessioning, and management of associated documents and records. This role will participate in these activities and troubleshoot sample, process, or system issues, as needed. This individual is also responsible for the day-to-day operations of the Accessioning Lab including staffing, scheduling, timecard management, issue resolutions, and performance management. The Accessioning Supervisor will also participate in the development and administration of policies and procedures, contribute to continuous process improvement to ensure consistent, high quality processes, and best practices established within laboratory operations. This role will participate in internal and external audits and quality management activities to ensure laboratory compliance with the applicable quality standards and regulatory requirements. The functions of this position are performed under the guided direction of the Pre-Analytical Laboratory Senior Manager.

The Accessioning Supervisor will serve as a liaison between accessioning and various functional groups, including customer service, analytical laboratory, post-analytical department, process and service engineering, information technology, human resources, quality, supply chain management and workplace services to report and address immediate issues or concerns. This role will also act as a liaison between staff members and the management team to support effective communication and change management. The Accessioning Supervisor will assist in the assessment of staffing levels to ensure adequate laboratory capacity and effective resource allocations and will recruit and hire new employees or contingency workers. The Accessioning Supervisor will be responsible for the ongoing management of their staff, which includes partnering with staff to create and execute personal development plans, conduct performance reviews, and ensure appropriate work scheduling, training, and competency assessment.

Essential Duties

Oversee and participate, as needed, in the daily accessioning activities which include sample receipt, sample accessioning, data entry, and document management.

Ensure that all activities within the accessioning department are performed and documented according to the established policies and procedures, and aligned with corporate goals.

Maintain operations by monitoring staff workload, adjusting schedules, monitoring and maintaining productivity standards, and identifying opportunities for efficiency gains and quality improvements.

Participate in the development, refinement, and implementation of documents that affect the department.

Establish, review, and implement training plans and checklists to ensure compliance with corporate policies and procedures.

Comply with safety protocols.

Troubleshoot sample, system, and process issues raised by staff, customers, or others.

Collaborate with IT, engineers, and other cross-functional teams to identify and resolve ongoing process or system issues.

Support corporate or customer experience improvement projects by providing ideas, business requirements or end-user feedback, and support troubleshooting, end-user testing, or task execution, as assigned.

Collaborate closely within lab operations, quality, and customer service to improve process efficiency and ensure that each specimen is properly processed to sustain operations and maximize resource utilization.

Represent the accessioning department in cross-functional teams, as assigned.

Participate in and/or assist with the preparation of interviews, selection, hiring, and onboarding of new staff.

Develop day-to-day schedules, assign personnel to complete scheduled tasks, and reprioritize due to changing business needs.

Review and maintain personnel files and department records in compliance with the Quality Management System (QMS) and applicable regulatory requirements such as CLIA, NY-CLIA, CAP, ISO standards and others.

Ability to comply with applicable personal protective equipment requirements.

May perform repetitious actions using lab tools.

Some time spent using near vision to view samples at close range.

May be exposed to hazardous materials, tissue specimens, instruments with moving parts, lasers, heating and freezing elements, and high-speed centrifugation.

Minimum Qualifications

Doctoral degree in clinical laboratory science or chemical, physical or biological science with 1 year training and experience in high-complexity testing; OR Master's degree in clinical laboratory science, medical technology or chemical, physical or biological science and 1 year training and experience in high-complexity testing; OR Bachelor's degree in clinical laboratory science, medical technology or chemical, physical or biological science and 1 year training and experience in high-complexity testing, OR Associate degree in medical laboratory technology and 2 years laboratory experience in high complexity testing.

Basic scientific aptitude that will allow rapid learning of new technologies and clinical data associated with Exact Sciences services.

Working knowledge of Microsoft Office programs, such as Word, Excel, and Outlook.

Demonstrated ability to perform the essential duties of the position with or without accommodation.

Authorization to work in the United States without sponsorship.

Preferred Qualifications

2+ years of experience in accessioning, specimen receipt or processing division of a laboratory, or field as outlined in the essential duties.

1+ years of supervisory experience with direct reports in a healthcare or clinical laboratory setting; or relevant leadership experience demonstrated in a similar role.

Experience with high volume laboratory operations.

Familiarity with regulatory bodies including ISO, OSHA, CAP, CLIA, and state regulatory bodies.

Experience with using Laboratory Information Management Systems (LIMS).

Working knowledge of local, state, federal regulatory requirements for a clinical laboratory.

Salary and Benefits
$69,000.00 - $122,000.00 base salary. The annual base salary shown is for this position located in US - WI - Marshfield on a full-time basis. In addition, this position is bonus eligible.
