Summary
The Sebastopol Area Senior Center (SASC) is seeking a highly organized, proactive, and detail-oriented Executive & Development Assistant to support the Executive Director and advance the organization’s fundraising and administrative effectiveness.
This role is ideal for someone who is truly up for any task, thrives in a fast‑paced nonprofit environment, enjoys wearing multiple hats, and is excited to contribute to a mission‑driven organization serving older adults in our community. The position blends executive support, donor engagement, fundraising coordination, and internal operations.
Key Areas of Responsibility
Development Coordination
Maintain and optimize donor database (GiveSmart), ensuring accurate records, gift tracking, and reporting
Process donations and in‑kind gifts; generate timely acknowledgments and tax receipts
Support donor cultivation and stewardship, including donor appreciation efforts
Assist with event logistics, including food, beverages, setup, and breakdown
Assist with fundraising projects such as sponsorship mailings, email and follow‑up
Assist in planning and executing fundraising campaigns and events (including peer‑to‑peer campaigns and annual gala support)
Draft donor communications, campaign materials, and appeal letters
Support grant preparation and reporting documentation
Executive & Administrative Support
Assist with calendar coordination of Executive Director and organizational efforts
Assist with preparing materials, talking points and follow‑up for staff/board meetings, community events, etc.
Coordinate logistics for board and committee meetings (packets, scheduling, RSVPs, catering)
Assist with internal communications and document editing
Maintain organized digital filing systems (Google Drive) and support annual administrative resets
Assist with board communications and schedule
HR & Operations Support
Assist with recruitment processes (job postings, scheduling interviews, applicant coordination)
Support onboarding of new hires, including documentation and orientation scheduling
Respond to basic staff inquiries related to policies and procedures
Supervisor Responsibilities
This position has no supervisory duties.

Able to prepare correspondence, interpret reports and procedures, and communicate information clearly to varied audiences
Education and Experience
2+ years of experience in administrative support, nonprofit development, or similar role
Ability to manage multiple priorities and meet deadlines
Self‑starter with a positive, solution‑oriented mindset
