Summary
The Medical Assistant (MA) assists the practice manager and physicians in maintaining a patient/customer focus, supports the delivery of high-quality care, shares a passion for patient and customer centered care, and assists in meeting or exceeding patient satisfaction and financial/operational targets. The MA provides patient care through performance of patient preparation, interviewing, technical tasks, and patient/family communication.

Responsibilities
Promptly room patients, using EMR to alert provider that patient is ready. Review past medical, surgical, family, smoking history, allergies, medications; note corrections in EMR, note medication refills needed, initiate self‑management goal setting, obtain patient’s vital signs, document in EMR, prepare chart for patient visit, understand insurance restrictions for lab work, referral needs, precertification requirements.
Observe patient condition and communicate any abnormal data or changes to provider.
Assist patients as needed with walking, transfers, dressing, undressing, preparing for the exam; remain in exam room when necessary/requested.
Specimen management: obtain specimens for testing when applicable (including performing phlebotomy and anterior nares nasal swab collections), perform laboratory and screening tests, record results in EMR and reconcile with logs, document and report findings to providers, perform all quality controls per Point of Care Testing guidelines, prepare specimens for transport.
Perform EKGs and other outpatient screening tests as per MD order and after properly preparing the patient; accurately document results in EMR.
Assist with minor surgical procedures by handing instruments, maintaining sterile field, positioning patient, and other duties within scope; serve as witness for procedural consents if required.
Respond appropriately to emergency/code situations.
CCA MAs, if applicable, administer prescribed medications, give injections and vaccines, read PPD results, under provider orders and document in EMR. Demonstrate competence in observation, treatment, and care of patients across all ages.
Responsive and proactive telephonic patient care: care coordination with specialists, ancillary services, hospitals, labs, home care agencies, and other health services.
Obtain and scan documents: test results, faxes, reports, notes, referrals.
Complete medical forms and other clinical requests, prepare and send patient correspondence, assist nursing staff with education materials.
CCA MAs: perform call‑backs as directed by provider, providing patients with follow‑up care instructions.
Adhere to universal body fluids precautions and infection control policies; dispose of infectious waste properly; promote infection control via hand washing.
Ensure patient care areas are neat, orderly, well‑stocked, and properly prepared.
Clean, disinfect, and sterilize instruments and equipment according to protocols; notify supervisor of malfunctions; set up equipment per practice protocol.
Clean and restock equipment; access secured area for supplies; retrieve supplies and medications/blood products; secure stock items; deliver patient‑specific medications/blood products.
Maintain temperature log for refrigerator or room temperature as needed.
Maintain safe environment and protect patients from injury by observing at‑risk patients for falls, confusion, disorientation, wandering.
CCA MAs: maintain medication storage closet inventory and security; check expiration dates; remove outdated items; perform daily code/crash cart checks as assigned.
Ensure compliance with federal, state, local regulatory standards (e.g., TJC, DOH, FDA, HIPAA, HCFA, DPW, LCGME, SCGME).
Flexibly adopt new processes and engage in practice operation changes.
Credentials
BLS/CPR training as a healthcare provider per the American Heart Association.
MA Certification required within 90 days of hire (if position in PA).
Education or Equivalent Experience
H.S. Diploma/GED required.
Completion of an accredited Medical Assistant program (or higher level equivalent) required.
Or 2 years’ experience working as an MA may be considered in lieu of program completion.
Or 1+ year working as a Clinical Support Representative at Penn Medicine may be considered.
