
Practice Coordinator

Schedule: Monday–Friday | 34 hours per week | 1-hour unpaid lunch daily
ABOUT THE ROLE
Coronado Wellness is a growing mental health practice in Provo looking for a steady, organized Practice Coordinator to keep both patient flow and billing flow moving. This is a split-focus role with a clear weekly rhythm — front office and patient support two days a week, billing and insurance follow-up the other three.
You’ll work alongside a small, experienced team that has clear systems in place. The right person takes ownership, follows through, and doesn’t need hand-holding to keep things moving.
WEEKLY RHYTHM
Tuesday & Thursday — Front Office Focus
Answer phones, greet patients, and support front desk flow
Scheduling, check-ins, and message routing
Basic medical assistant duties and appointment readiness
Post EOBs and ERAs, keep payment activity current
Work unpaid claims, denials, and payer follow-up
Submit corrected claims and resubmissions
Resolve billing issues that require persistence and follow-through
Keep billing workflows organized and current
CORE RESPONSIBILITIES
Answer inbound calls and assist with outbound calls as needed
Greet patients, check them in, and support a smooth office experience
Help maintain schedules, appointment readiness, and message routing
Support general front desk coordination and daily office flow
Help patients with basic payment and appointment questions
Clinical & MA Support
Assist with basic medical assistant responsibilities
Support intake readiness, documentation flow, and visit preparation
Help prepare rooms and maintain readiness between appointments
Support TMS and Spravato room readiness and monitoring as trained
Help ensure providers and support staff have what they need for the day
Post EOBs, ERAs, and related payment activity
Assist with insurance billing follow-up and problem claims
Work corrected claims, resubmissions, and billing-related issues
Help resolve denials and unpaid balances that require action
Support billing workflows using TherapyNotes, Availity, Google Workspace, and Microsoft Office
Help identify delays, gaps, and workflow issues so tasks continue moving forward
WHO WE'RE LOOKING FOR
Previous experience in healthcare, front desk, billing, medical assisting, or a related administrative role preferred
Comfortable communicating with patients, team members, and insurance representatives
Familiar with EOBs, ERAs, claim corrections, or payer follow-up is a strong plus
TherapyNotes or similar EHR experience is a plus
Organized, detail-oriented, and able to shift between front office and billing work
Dependable and able to take ownership without constant direction
Professional, discreet, and able to maintain confidentiality
WHAT WE OFFER
$14.00–$18.00 per hour based on proven experience
Full-time schedule: 34 hours per week, Monday–Friday
On-site training for all role responsibilities
