Function
The Executive Assistant performs various administrative and clerical duties and provides office support to designated supervisors and managers.
Reporting To
President
Key Activities
Visualize, fulfil, and implement the company vision and core values;
Perform general receptionist and clerical duties to include, but not limited to, invoicing, answering phone calls, copying, mailing, and filing;
Draft letters and official communications, prepare reports, and systematically file documents and information;
Manage general office functions to include, but not limited to, coordination of building maintenance, office cleaning, ordering office supplies, printer maintenance, office IT support, breakroom cleanup, etc.
Provide administrative support for President and other assigned leaders;
Assist managers with electronic reporting tasks and oversee accuracy of system data;
Organize and distribute faxes, emails other communications in an effective and timely manner;
Organize meetings and other events, maintaining executive and team calendars;
Type/transcribe meeting notes, etc.,
Coordinate travel plans for executive staff;
Perform miscellaneous office and building management tasks;
Perform other duties as may be required.
Knowledge and Skills
Dependable and punctual, able to work with minimal supervision;
Excellent communication skills as well as strong interpersonal and relationship skills;
Highly organized and detail oriented;
Ability to draft, revise, and edit letters;
Strong computer proficiency with a working knowledge of Microsoft Office products.
Ability to work in the office during normal business hours 800 am to 500 pm
Education / Experience
High School Diploma or GED
2-3 years of relevant experience
Physical Requirements
Sedentary work, requiring regular lifting up to 10lbs and occasional lifting up to 25 lbs.;
Repetitive motion associated with operating a computer and other office equipment.
Inside, climate-controlled working conditions, seated at a desk for extended periods of time.
