What we need:
Our ideal Executive Assistant candidate is a highly organized, dependable professional who excels at supporting executive leadership and ensuring the smooth, efficient operation of the executive office. They are detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment without sacrificing accuracy. This individual demonstrates the highest level of discretion and professionalism, serving as a trusted point of contact for internal and external stakeholders while handling sensitive information with confidentiality. They thrive in structured environments, communicate effectively, and take pride in delivering consistent, reliable support that keeps leadership focused and operations running seamlessly.

Key Responsibilities

Provide high-level administrative support to the Executive Leadership Team, including calendar management, meeting coordination, travel arrangements, and preparation of reports, presentations, and correspondence.

Serve as the primary liaison between executives and internal/external stakeholders, ensuring professional communication and handling confidential information with discretion.

Coordinate executive meetings, including agenda development, note-taking, and follow-up on action items, while proactively managing priorities, deadlines, and deliverables.

Support budgets, expenses, invoicing, and special projects, including research, data analysis, and executive-level reporting.

Maintain and improve office systems, processes, and filing structures to ensure efficiency, organization, and accessibility of information.

Support company communications, announcements, and administrative processes tied to strategic initiatives.

Deliver a professional front‑desk and customer service experience, including managing calls, emails, mail, and visitor interactions.

Coordinate office logistics such as shipping/receiving (UPS/FedEx), meeting catering, and event support.

Maintain office organization and supplies, including common areas, café, and inventory of snacks, beverages, and materials.

Ensure compliance with company policies, standardized processes, and travel as needed to support operations.

Other duties as assigned.

What you need:

High school diploma or equivalent required.

Education: Associate’s or Bachelor’s degree in Business Administration or related field preferred; equivalent experience considered.

Experience: Minimum 5 years of executive administrative support or office management experience in a fast‑paced, professional environment.

Confidentiality & Discretion: Demonstrated ability to handle highly sensitive and confidential information with the utmost professionalism, sound judgment, and integrity; trusted to support executive‑level matters.

Administrative Expertise: Strong experience managing complex calendars, travel, meetings, and executive communications with a high degree of accuracy and attention to detail.

Financial/Admin Skills: Experience with invoicing, expense tracking, and basic budgeting support preferred.

Organization & Multitasking: Exceptional organizational skills with the ability to manage multiple priorities, shifting deadlines, and competing demands.

Communication Skills: Excellent written and verbal communication skills with a polished, professional demeanor and the ability to interact with senior leaders and external partners.

Technical Skills: Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) and general office systems.

Customer Service Orientation: Strong interpersonal skills with a professional, welcoming presence in front‑office interactions.

Adaptability & Judgment: Proactive, resourceful, and able to anticipate needs, solve problems independently, and exercise sound judgment in a dynamic environment.
