Our Client, a Global Financial Services Firm is seeking a Part-Time Executive Assistant in their San Rafael, California location.
Responsibilities
Provide daily administrative support to a Registered Associate and Senior Financial Advisor, including calendar management, meeting coordination, and phone coverage
Convert charts, research reports, and equity analysis into accessible formats compatible with assistive technology for a visually impaired advisor
Assist with preparation and distribution of client materials, presentations, and internal documents
Maintain organized records and ensure accurate documentation of client interactions and requests
Coordinate logistics for meetings, calls, and events, including materials and follow ups
Liaise with internal teams to gather information and ensure timely completion of requests
Handle sensitive and confidential information with a high level of discretion
Support general office operations and administrative tasks as needed
Proactively manage multiple priorities and adapt to shifting business needs
Requirements
0–2 years of administrative, office support, or related experience
Strong organizational skills with the ability to manage multiple tasks and deadlines
High level of professionalism, business etiquette, and attention to detail
Strong written and verbal communication skills
Ability to learn quickly and work both independently and as part of a team
Comfortable working in a fast paced environment with evolving priorities
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Interest in financial services or supporting a financial advisory team preferred
Experience supporting accessibility tools or willingness to learn is a plus
