Administrative Assistant

UBE C1 Chemicals America (UCCA) is seeking a highly organized and detail-oriented Administrative Assistant with experience in chemical plant environments. The ideal candidate is fluent in native Japanese and capable of supporting cross-cultural communication, administrative coordination, and operational efficiency within a technical and industrial setting.
Requirements
Provide day-to-day administrative support to Construction Manager, Project Managers, Engineering Managers, Plant Management and staff.
Coordinate meetings, events, and travel arrangements, including international logistics.
Serve as a bilingual liaison between Japanese-speaking stakeholders and local teams.
Prepare, translate, and proofread technical manuals, training documents, and weekly and monthly reports in both Japanese and English.
Maintain records, reports, and compliance documentation specific to chemical plant operations.
Assist with procurement, vendor communication, and office supply management.
Support safety documentation and ensure adherence to plant policies and procedures.
Handle confidential information with professionalism and discretion.
Function as Material Master Data administrator.
Work Environment
Office setting within or adjacent to a chemical plant facility.
May require occasional plant access using appropriate safety training and PPE required).
Work Experience
Basic Qualifications
Proven experience as an Administrative Assistant, preferably in a chemical plant or industrial environment.
Native-level fluency in Japanese (spoken and written) and strong English proficiency.
Familiarity with chemical plant operations, terminology, and safety standards.
Excellent organizational, time management, and multitasking skills.
Strong communication and interpersonal abilities.
Experience using SAP for Supply Chain Management, including Procurement, Product Planning, Inventory Management, and Sales & Distribution modules, with additional knowledge of the Finance module.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, and PowerPoint).
Knowledge in AutoCAD and Adobe Acrobat.
Ability to work independently and collaboratively in a fast-paced environment.
Preferred Qualifications
Experience working with Japanese companies or expatriate staff.
Document management skills in industrial settings.
Bachelor of Science degree.
