Company in Oak Ridge, Tennessee is seeking a highly organized and detail-oriented Accounting and Office Administrator to support financial operations, contract administration, and day-to-day office functions. This role plays a critical part in maintaining accurate financial records, supporting compliance, managing contracts, and ensuring smooth administrative operations across the organization. Bookkeeping & Accounting Support
Maintain accurate and up-to-date financial records
Record daily transactions, journal entries, and general ledger activity
Reconcile bank accounts and credit card statements
Assist with monthly and year-end financial close
Prepare financial reports as requested by management or external accountants
Support audits and financial reviews
Accounts Payable (AP)
Process vendor invoices accurately and timely
Verify invoice approvals and coding
Schedule and issue payments (ACH, checks, wires)
Maintain vendor records and W-9 documentation
Resolve vendor inquiries and discrepancies
Accounts Receivable (AR)
Prepare and issue customer invoices
Track receivables and follow up on past-due accounts
Apply payments and reconcile customer accounts
Maintain accurate customer billing records
Contracts Administration
Maintain organized contract files and databases
Track contract terms, renewals, expirations, and compliance requirements
Assist with drafting, reviewing, and processing contracts and amendments
Coordinate contract execution and internal approvals
Serve as a point of contact for contract-related administrative matters
Office Administration
Provide general administrative support to leadership and staff
Manage office supplies, vendors, and service providers
Coordinate calendars, meetings, and documentation
Assist with onboarding and offboarding administrative tasks
Maintain organized digital and physical filing systems
Support special projects and cross-functional initiatives as needed
Qualifications
Required:
3+ years of experience in bookkeeping, accounting support, or office administration
Strong understanding of AP/AR processes
Experience managing contracts or administrative legal documentation
Proficiency with accounting software (e.g., QuickBooks or similar)
Strong Microsoft Excel and Office skills
Exceptional attention to detail and organizational skills
Ability to handle confidential information with discretion
Preferred:
Experience in a technology, science, or publicly traded company
Familiarity with compliance, audits, or SEC-related support
Associate's or Bachelor's degree in Accounting, Business, or related field
