Job Overview
Full Time (40 hours per week). M-F Days, Primarily 8:30 am to 5:00 pm and 9:00 am to 5:30 pm. Onsite for Nursing Administration.
Summary
Supports leaders and department operations within non-clinical area by maintaining calendars, scheduling meetings, receiving and sending mail, preparing documents and presentations using Microsoft programs.
Responsibilities
Supports department operations by inputting data, answering phones and routing departmental phone calls to appropriate source.
Answers and routes telephone calls from within or outside of the organization.
Creates and/or proofs department correspondence and reports, ensures appropriate distribution on documents.
Coordinates office procedures and efficient operations of the department.
Communicates effectively via personal contact, phone and in writing with hospital staff, community professionals and vendors. May respond on behalf of leader both verbally and in writing as requested.
Accurately uses all Microsoft applications necessary for reports, letters, forms, etc.
May assist with timekeeping and tracking of staff requirements (annual education, performance evaluations, onboarding checklists, orientation, etc.).
Maintains office supplies.
Assists with project work.
Assists with cross coverage as needed/directed.
Other duties as assigned.
Technical Expertise
Requires proficient secretarial skills.
Must have telephone skills.
Strong communication (verbal and written), interpersonal and organizational skills required.
Experience with Microsoft applications preferred.
Ability to work under stressful conditions in an appropriate manner, independently with minimal supervision and maintain confidential information.
Education and Experience
Education: High School diploma or equivalent required.
Experience: Minimum of one (1) year’s experience in an office setting performing secretarial duties (receiving and routing phone calls, typing, data entry, etc.) required.
Basic to advanced knowledge of computer system required (i.e. Microsoft Word, Microsoft Excel, Microsoft PowerPoint).
