
BUSINESS DEVELOPMENT PROPOSAL COORDINATOR (HYBRID-CHARLOTTE, NC)

Job Summary
The Business Development Proposal Coordinator supports the development and execution of sales and retention proposals by managing day-to-day proposal activities for small to mid‑sized or less complex bids. This role plays a critical part in maintaining proposal accuracy, organization, and on‑time delivery while ensuring alignment with brand standards and client requirements. Working closely with the Proposal Manager, Sales team, and Subject Matter Experts (SMEs), the Proposal Coordinator facilitates a smooth proposal process by coordinating inputs, tracking deliverables, and managing logistics.
Responsibilities
Support the proposal development process by organizing, pulling, and formatting responses for Requests for Proposals (RFPs).
Manage the end‑to‑end proposal process for smaller or less complex sales and retention opportunities.
Assign RFP questions to appropriate SMEs and track responses to ensure timely completion.
Schedule and facilitate creative kick‑off calls, assisting with agenda preparation and follow‑up action items.
Review and proofread proposals and related materials to ensure accuracy, consistency, compliance, and brand alignment.
Use process management tools such as Smartsheet and Microsoft Teams to track workflow, assignments, and deadlines.
Manage the clarification and Q&A process by tracking client questions and coordinating internal responses.
Coordinate submission logistics, ensuring proposals are compliant with client instructions and submitted on time.
Serve as a liaison between Sales, creative teams, SMEs, and operations partners to maintain clear and efficient communication.
Build and maintain positive working relationships with internal stakeholders and cross‑functional partners.
Provide execution‑level support to the Proposal Manager on larger or more complex bids, as needed.
Qualifications
Minimum of 2 years of experience in proposal coordination, marketing, business development, or a related professional environment.
Strong organizational and time‑management skills with the ability to handle multiple projects simultaneously.
Excellent proofreading, editing, and attention‑to‑detail skills.
Familiarity with RFP processes and compliance requirements.
Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with Smartsheet, Teams, SharePoint, or similar tools preferred.
Strong written and verbal communication skills.
Ability to collaborate effectively with diverse teams and stakeholders.
Bachelor’s degree preferred.
