
Fleet Coordinator

Position Overview: The Fleet Coordinator supports the day-to-day operations of the organization's fleet program by ensuring company vehicles are maintained, compliant with applicable regulations, and used effectively to meet business needs. This role provides administrative, logistical, and operational support to the Fleet Manager, including maintaining records, coordinating services, and assisting drivers. The position requires organization, timeliness, and a customer service focus.
Essential Duties & Responsibilities:
* Assist in managing the organization's fleet of vehicles and specialty equipment, including general upkeep such as fueling, washing, and detailing
* Support with vehicle reservations, assignments, and returns using the fleet database
* Assist in scheduling and tracking vehicle maintenance, inspections, and repairs
* Monitor vehicle usage, fuel consumption, and mileage reports
* Assist with telematics tracking software, including monitoring vehicles and supporting equipment installation and removal
* Support with driver onboarding, documentation, compliance tracking, and creating the driver app identification
* Maintain accurate fleet records, including registrations, insurance, and service logs
* Provide support with tracking and collecting information for all fleet vehicle accidents
* Track and report on fleet-related expenses and budgets
* Ensure compliance with local, state, and federal transportation regulations
* Respond to driver inquiries and provide operational support
* Support with executive drives and tours
* Perform other duties as assigned
Other Responsibilities: Ability to work overtime with short notice.
Qualifications:
* 3+ years of driving experience within the NYC metro area.
* High school diploma or equivalent
* Experience with using Microsoft Office
* Valid NYS driver's license
* Demonstrated commitment to delivering quality work and customer service
* Demonstrated communication and problem-solving skills
* Proven time management and prioritization skills
* Ability to perform under minimal supervision.
* Ability to maintain a professional attitude and attire
