Responsibilities
Responsible for providing executive administrative support to the School of Information:
Supervising and coordinating assignments in the administrative suite.
Routing phone calls and receiving visitors and students in the administrative suite.
Overseeing office functions, such as mail distribution, supply orders, and maintenance work orders.
Maintaining administrative calendars, scheduling appointments, and coordinating meetings.
Gathering and preparing materials for meetings facilitated by the Director.
Managing calendars for conference rooms and classrooms.
Organizing, planning, and coordinating departmental events, such as graduation receptions, guest speaker events, and workshops.
Completing faculty recruitment activities such as coordinating position advertisements, scheduling interviews, and completing appropriate workflows, transmittals, and documentation.
Overseeing the faculty credentialing process, updating faculty folders, preparing faculty evaluation documents, and coordinating materials for faculty meetings.
Advising the Director and faculty on updates to university practices and policies.
Assisting with the preparation and submission of faculty promotion and tenure documentation.
Supporting and managing departmental Federal Work Study students.
Serving as the exempt FACET Representative and backup P-Card holder for the School of Information.
Maintaining active communication with faculty, staff, and students of updates, changes, and important developments.
Providing support, assisting with special projects, and performing other duties as assigned.
Qualifications
Bachelor's degree and four years of experience; or a high school diploma/equivalent and eight years of relevant experience. (Note: a combination of post high school education and experience equal to eight years.)
Preferred Qualifications
Ability to communicate effectively verbally and in writing.
Ability to develop and implement policies, procedures, goals, and objectives.
Ability to evaluate process effectiveness and develop change or alternatives.
Ability to prioritize, organize and perform multiple work assignments simultaneously.
Knowledge of and the ability to interpret and apply University policies, procedures, principles, and practices.
Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.
