Front Desk Clerk/Receptionist for OI High School

OI High School Office is seeking to fill the front office receptionist position. This position is full time during the school year, with part-time hours in the summer.

Key Responsibilities:

Student Registration & Records Management
Accept and process registration packets; enter student information accurately into systems
Verify required enrollment documentation for compliance
Create and maintain cumulative and health files for incoming scholars
Request records from previous schools and fulfill outgoing records requests
Archive files for withdrawn and graduated scholars
Rotate and prepare files for incoming 9th grade scholars
Manage withdrawal processes for scholars
Parking Registration for Teachers and Scholars
Tracking of Cell Phone / Electronic Violations
Scheduling & Academic Support

Support class selection process and ensure completion of compliance links following initial communication
Print reports as needed for administration and staff
Coordinate and execute schedule pick-up and fee payment events
Coordinate substitute coverage, including:
Covering internal substitute assignments as needed
Coverage of teacher/coaches for athletic events & tracking pay
Preparing class rosters and supporting guest teachers with directions and plans
Maintaining internal sub tracking systems (e.g., "Kitchen Sink" spreadsheet)
Communicate with HR and principals regarding teacher absences as needed
Financial Responsibilities

Assign and collect student fees
Process cash, check, and credit card transactions
Reconcile credit card transactions and prepare deposits
Front Office Operations

Serve as primary point of contact by answering incoming calls and directing inquiries appropriately
Make outgoing calls to parents/guardians as needed
Check voicemails and distribute messages in a timely manner
Greet visitors and manage guest form acceptance
Accept and distribute packages and deliveries
Student Services & Support

Manage scholar sign-in/sign-out procedures
Assist with attendance processes
Distribute diplomas to graduates
Coordinate parking registration and assignment
Support sub coordination as needed
Distribute van keys to authorized personnel
Health & Safety

Provide basic emergency response support when needed
Administer medication in accordance with school policies and training
Coordinate fire drills and support campus safety procedures
Operations & Logistics

Maintain copier functionality and coordinate repairs
Order office and staff supplies, including teacher requests
Manage testing compliance forms and documentation
Update informational slides on campus TVs
Qualifications:

Strong organizational and multitasking skills
Excellent communication and customer service abilities
Attention to detail and accuracy in record-keeping
Ability to handle confidential information with discretion
Proficiency with office technology and student information systems
Ability to remain calm and solution-oriented in a fast-paced environment
Preferred Qualifications:

Previous school front office or administrative experience
Knowledge of student records, attendance, and compliance requirements
