Administrative Assistant to Transportation & Operations
Buchanan Community Schools is welcoming applicants for an Administrative Assistant to Transportation & Operations. This administrative assistant will assist the transportation supervisor in the area of dispatching bus drivers to ensure safe, timely transportation of district students to school and related school events and clerical work for the maintenance department. Assists in the development and maintenance of bus routes. Assists with emergencies and adjustments due to accidents, weather, breakdowns or school schedules. Assists parents, drivers, and school administrators in the resolution of problem situations.
General Duties and Responsibilities:
Answers routine phone inquiries, takes messages, routes calls
Processes purchase orders & work orders
Takes/transcribes notes for correspondence
Types, prepares, distributes reports, mailings & correspondence
Performs receptionist duties with the public and staff
Prepared and follows-up on purchase orders for department's vehicle operation and supplies
Processes purchase orders & work orders for transportation & operations departments
Corrects and maintains budget records in cooperation with Business Office using monthly budgeting printouts
Prepares field trip forms for distribution to drivers
Opens and distributes mail for the departments
Maintains accurate files and records
Transmits transportation information to schools, drivers and the public
Maintains communication with bus drivers via two-way radio
Assists in routine office operations
Promotes safety practices for all transportation employees
Helps maintain records on buses and reports fleet accidents and property damage
Maintains accurate route records
Maintains equalization charts and records as required
Responsible for the operations of Copy Central, including making copies and sorting mail
Responsible for van request schedules
Attends Open House and other functions as requested
Orders, processes, and maintains office materials and equipment
Operates standard office equipment. (Fax, email, modems, computers, district adopted office software, copy machines.)
Takes annual inventory
Drives a route bus, trip bus or route van as needed CDL preferred or willing to obtain.
Maintains regular, reliable and punctual attendance
The employee shall remain free of any alcohol or nonprescribed controlled substances in the workplace throughout their employment in the District
Qualification Requirements:
Education and/or Experience: High School Diploma or equivalent; two years previous office experience preferred; experience in general transportation operation preferred; possess a Michigan Driver's License, CDL preferred
Language Skills: read and interpret documents such as policies, regulations, and articles; write reports and correspondence; speak effectively before groups of parents, students, staff and stakeholders; ability to work with At-Risk students; and listen and respond to inquiries
Mathematical Skills: calculate figures and amounts; and apply math concepts to practical situations
Reasoning Skills: solve practical problems and deal with a variety of concrete variables; use logic and reasoning to interpret instructions whether written, oral, diagram, or schedule form
Other Skills: speed typing, technologically literate using Chromebook computers and Google applications; able to communicate clearly and concisely both orally and in writing, able to effectively take direction, as well as, work independently and as a member of a team; ability to handle complex and stressful issues or situations with sound judgment, common sense, and a calm demeanor; punctual and rarely absent work habits; ability to perform duties with awareness of all district requirements and Board of Education policies, experience working with young children, especially those with special needs/behavioral issues, patience, a nurturing demeanor, and enjoys working with children
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, stand, talk and hear; required to bend at the neck more than the average person; must have the ability to lift up to 40 lbs and push up to 90 lbs. The employee is directly responsible for safety, well-being, or the work output of other people. Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus. Occasionally, the employee will drive a vehicle, some driving is necessary. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
Work Environment:
The noise level in the work environment is typically minimal but can be moderate to loud. Duties are performed indoors and occasionally outdoors. The employee is required to meet deadlines with severe time constraints, interact with stakeholders, and work regular hours.
