Evaluation: Performance of this job will be evaluated annually in accordance with the provisions of the Board's policy on evaluation. The evaluation will be completed by the Building Principal or other certified evaluator.
Terms of Employment: Salary/benefits and most conditions of employment are set by the Board of Education through Board Policy, the FEA contract and this job description. Work year and performance responsibilities are to be established by the Board of Education. Daily schedule, specific tasks, and conditions of employment not otherwise addressed may be assigned by the Building Principal.
Qualifications
Demonstrated aptitude for the successful completion of tasks in the fulfillment of the assigned responsibilities.
Experience with school secretarial services or the equivalent in secretarial service in other institutions and/or firms helpful but not required.
High school diploma or equivalent preferred but not required.
Certificate of good health signed by a licensed physician.
State of Illinois fingerprinting and background check in compliance with state code and district policy requirements.
Required Skills
Able to sit, stand, and walk as necessary to adequately complete essential elements of the position.
Able to write and speak in person and over the phone, complete reports and communicate with supervisor and other personnel in the workplace.
Proficient with computer basics, including use of word processing and spreadsheet applications.
Able to organize work in order to complete assigned tasks.
Brief Description of Position
Organize, coordinate, schedule and perform office functions. Serve as secretary to the Building Principal and coordinate communications between administrators, District and site personnel, parents, students, and the general public. Maintain student records and files, and prepare reports as requested.
Performance Responsibilities
Types and files with high degree of accuracy.
Assists Building Principal with clerical aspects of student progress reports and grade cards.
Maintains student records and files in accordance with state and federal law and Board policy.
In conjunction with Building Principal, responsible for the accuracy of student records in SIS and any other records required by state and federal agencies.
Prepares reports as requested.
Accurately monitors teacher attendance; includes teacher and substitute tracking, and substitute acquisition as necessary.
Accurately monitors student attendance.
Processes staff notices, staff evaluations, bulletins, newsletters, and related correspondence.
Signs for, sorts, and routes incoming and outgoing mail, deliveries, and other paperwork.
Prepares registration materials and accurately maintains enrollment records in Lumen and student files.
Monitors radio contact with all school buses.
Schedules appointments for the principal and staff.
Responsible for effectively monitoring the activity account, purchase orders and bills, and building bank deposits.
Dresses appropriately for an office environment.
Is prompt and thorough in completing tasks. Is efficient and attends to details.
Recognizes tasks that need to be completed and either completes those tasks or notifies the Building Principal of the need.
Remains on the school premises during school hours when scheduled to work. Remains on school grounds when requested by the Building Principal.
Checks email daily; responds to email as necessary.
Completes and submits accurate personnel timesheets in a timely manner.
Is courteous and polite with students, staff and co-workers, and the general public. Assists visitors and building groups as needed. Communicates well with the public.
Arrives punctually and does not leave until shift is over or required/requested work is complete.
Follows all rules, regulations, policies, etc., pertaining to the completion of all facets of the position. Follows established safety procedures at all times.
Performs all other duties as assigned.
