Essential Duties and Responsibilities:
Answers, screens, and directs telephone calls and takes messages.
Handles customer requests that are of an operational nature for Water / Wastewater as well as documents and follows up to ensure timely resolution.
Prepares correspondence/forms and maintains records of certified mailings and correspondence as requested by staff.
Issues purchase orders and assists Water / Wastewater Operations in purchasing activities.
Reconciles materials issued for construction and maintenance work orders upon completion.
Processes all incoming and outgoing freight.
Maintains and updates reports in the following areas
Backflow Maintenance, Safety Programs, Fuel Reports, Hydrant Meters, Truck Fill-Up and Inventory, NPDES Reports.
Tracks Hydrant Meters and Bulk Water sales.
Call in 811 locates as requested by staff.
Registers staff for training; processes corresponding purchase orders and travel and training forms.
Serves as liaison between Lebanon Utilities and Indiana Paging Network including:
maintaining the on-call listing for all departments
maintaining the pagers and issuing replacement pagers as needed
compiling and sending daily after hour calls notifications
Maintains user codes for access to the gate at the Water/Wastewater Facility.
Updates the Lebanon Utilities website as it pertains to Water /Wastewater issues.
Verifies completion of and submits to IDEM the monthly report of operations for the Water Treatment Plants.
Completes and submits the monthly report of operations to IDEM via NetDMR for the Wastewater Treatment Plant and for the Sugar Creek Water Treatment Plant.
Initiates and follows through to completion the yearly chemical bid.
Processes monthly reports for on-going projects for the Finance Department
Processes monthly top customer reports for water and wastewater.
Processes the monthly power usage reports for the lift stations.
Processes the monthly large power usage report for the Lebanon Utilities.
Schedules water and sanitary sewer inspections between the contractors and our staff.
Processes water and wastewater permits due to inspections for Customer Service.
Processes sanitary sewer and water inspections in mCare.
Qualifications:
High school education or equivalent required.
Three to five years related work experience.
Strong written and verbal communication skills necessary in order to deal with a wide range of personalities both inside and outside the organization.
Strong word processing and spreadsheet skills and the ability to use a variety of office equipment such as calculators, copiers, typewriters, facsimile machines, personal computers, etc.
A valid driver's license required.
